Frequently Asked Questions
Welcome to our Conference Housing FAQ! We’re so glad you’ll be joining us on campus. Whether you’re preparing for arrival or already settling in, this page covers everything you need to know—from what to pack and where to check in, to how to do laundry, find dining options, or request maintenance. We want your stay at UofL to be smooth, comfortable, and stress-free from start to finish.
Before You Arrive
Please review the “What to Bring” document. It can be found on the Hosting a Conference tab.
Flammable options such as crock pots, air fryers, grills, etc. are prohibited in the residence halls. Please review the Conference Housing Booklet for additional information on prohibited items.
No, however, linen sets can be provided at an additional cost. Pillows and pillowcases are not included. Additionally, items such as one roll of toilet paper and shower curtains are provided free of charge.
Yes, but they cannot be mailed to your designated residence hall, according to UofL’s policy. All mail must be picked up/shipped to the Canon Print and Mail Services desk at the Student Activities Center (SAC), Suite 119W. Standard operating hours are 8:00am – 5:00pm, M-F.
Groups are not permitted to check in before the designated check-in window of 3-6 PM. If your group arrives early, you may visit our service desk at Belknap Village South to pick up keys once our staff has confirmed the spaces are ready for check-in.
Drop-offs vary based on each hall, and can be found in the Conference Housing Booklet located on the “Hosting a Conference” tab.
While pets are not allowed, UofL’s Service Animal Policy permits approved service animals in residence halls. Guests must abide by all provisions. If you have an inquiry regarding service animals on campus, please contact the Disability Resource Center at (502) 852-6838.
During Your Stay
Laundry facilities are available in each residence hall. To use these facilities, download the Speed Queen app to your phone or pay with coins. Speed Queen allows you to do the following:
- Pay for your laundry by connecting a payment method
- View occupied machines and exact time remaining until the end of the cycle.
- Add additional time to your drying cycle
- Request an email or text alert when your laundry is complete
- Report any broken machines and request refunds
For the fastest response, please contact our 24-hour service desk, and a Conference Assistant will file a maintenance request on your behalf.
Non-emergency maintenance staff are available weekdays from 7:30 am – 3:30 PM and most requests are completed within two business days.
If there is an on-campus emergency, call ULPD: (502) 852-6111
There are restaurants open for breakfast, lunch, and dinner inside the Student Activities Center. Hours are limited and vary during the summer months. Catering is also available at an additional cost. Please visit University of Louisville - Dining Services (linked) for more information.
Housing staff can make a new card at our 24-hour service desk at Belknap Village South! Please note that all missing cards and keys will be documented and charged an additional fee.
Room changes can only be approved by UofL conference staff and provided for extenuating circumstances, such as maintenance issues. Please visit our service desk at Belknap Village South for assistance.
Our Conference Assistants are always available to answer any questions you may have! For any logistical questions, I recommend reaching out to your UofL staff coordinator.
