Workday Open Enrollment Instructions
Use this step-by-step guide to help you complete your Open Enrollment elections. The guide walks you through each stage of the enrollment process, from reviewing your benefit options and comparing plans to making your selections and submitting your elections. Following these instructions will help ensure you complete all required steps and make informed choices for the upcoming plan year.

1Getting Started
1. Log in to Workday.
2. Select the inbox icon at the top right of your screen. You will see a task that states Open Enrollment Change.
• Note: If you do not see this task, contact the Benefits Department at Benefits@louisville.edu or call the Open Enrollment Line at 502-852-0040 (Monday–Friday, 8:00 AM–4:30 PM) between October 12 and October 30, 2026.3. Click Let’s Get Started.
4. If prompted, update dependent Social Security Numbers, then click OK → Continue.

2Selecting & Managing Benefits
To make changes for 2027, click Enroll or Manage on each benefit enrollment card that applies. For each plan selected, confirm your choice and click Confirm and Continue to move to the next screen.
• Flexible Spending Account (FSA): FSA elections do not roll over to each new plan year. You must actively enroll during Open Enrollment (Oct 12–30, 2026) to have FSA coverage in 2027. Enter your desired annual contribution when enrolling. Healthcare, Dependent Care and Limited Care FSA enrollment cards will display as Waived until you complete your enrollment.
• Health Savings Account (HSA): If you enroll in the CDHP plan with an HSA and receive a UofL paycheck, you may select the HSA enrollment card to elect an annual contribution amount to be deducted each pay period from your paycheck. Note: This amount is in addition to the university's HSA contribution, which is based on your elected coverage tier. Additionally, current HSA employee contributions roll over to 2027 automatically.
• Medical, Dental, Vision, & Life Insurance: Your 2026 elections will automatically roll over for 2027 with no action needed. Note: To make changes, click Enroll or Manage on the desired benefit enrollment card. If you are not currently enrolled in coverage, the benefit enrollment card will reflect as Waived.
IMPORTANT BENEFIT PLAN NOTES
• HSA Eligibility Disclaimer Once enrolled in any part of Medicare; you are no longer eligible to contribute or receive employer HSA contributions. HSA funds may only be used for qualifying individuals claimed on your tax return. You may not receive or use HSA contributions on qualifying adults or dependents you do not claim on your taxes.
• Dental Carrier Change for 2027: Delta Dental of Kentucky will become the university's dental carrier in 2027. While Basic and Enhanced plan designs remain unchanged, dental premiums will increase for 2027.

3Dependents & Beneficiaries
1. Manage Dependents: Add or review dependents under each benefit plan. Ensure each dependent covered under a policy has a blue checkmark selected. To add a dependent, click Add New Dependent (complete all required fields marked with an asterisk) and click Save.
2. Manage Beneficiaries: Assign primary beneficiaries to your Basic Life and Additional Term Life plans. Requirement: At least one primary beneficiary is required per plan, and percentage allocations must equal 100%. You will receive an error message and cannot proceed if this is incomplete.
3. Click Save, then select Review and Sign at the bottom of the screen (or Save for Later if you plan to return later to finalize your selections no later than 11:59 p.m. EST on October 30, 2026).

4Verification & Final Submission
1. Review Summary: Review your elected coverage on the View Summary page. Attach any required dependent verification documentation if prompted.
2. Electronic Signature: Scroll to the Electronic Signature Statement at the bottom of the page and check I Accept.
3. Submit & Print: Click Submit. Click View 2027 Benefits Statement to print or download a copy of your records, then click Done.
Finalizing your elections
Approval & Effective Date: Once you have completed the Action Items in your Inbox, the Open Enrollment process will route for approvals. Once approved, the process is complete. Your elections will become effective January 1,2027.
Making Changes Later
You can edit your choices anytime until Open Enrollment closes on October 30, 2026, at 11:59 PM EST. To edit: Log in to Workday → Select 'Personal’ and then ‘Benefits and Pay' → Click 'Edit' under 'Needs Attention'.
