 Procedure Overview

Do not purchase airfare or make lodging arrangements until the group leader has received authorization from the International Center. Authorization may be obtained by submitting the trip in the Travel Registry.

Please submit all international travel forms at least 20 working days before the travel start date. Once this information has been entered in the Travel Registry, you will receive an approval email.

Countries that are on the U.S. Department of State Travel Advisory List (levels 3-4), the CDC Travel Notice Level 2 list, or the U.S. Department of the Treasury Sanctions list require additional forms and/or procedures. Please if you are leading a trip to a country on one of these lists, and submit all forms 35 days before the travel start date. Students are prohibited from traveling to countries ranked as Level 4 "do not travel" by the Department of State or Level 3 "avoid nonessential travel" by the CDC. Faculty/Staff Forms:

The faculty/staff lead is responsible for entering all information in the Travel Registry.

Students:

Students earning credit on a faculty-led study abroad program will complete all of their requirements in the Education Abroad Terra Dotta site. If you have any questions about accessing the portal, please email

Community Members

Community members are indirectly affiliated with the University of Louisville by participating on a University sanctioned trip. Community members' information will need to be entered in the Travel Registry by the faculty/staff lead.

Insurance

As of January 1, 2025, the University of Louisville has a new blanket insurance policy provided by Zurich American Insurance Company. This new policy is designed to streamline coverage for all eligible members of our campus community and eliminate the need for individual registration to obtain insurance coverage.

What This Means for You:

  • Automatic Coverage: Starting January 1, 2025, you will be automatically covered under the Zurich policy and receive your ID card when you receive Provost Office approval.
  • No Uploading Proof of Insurance to Travel Registry. Again, your coverage is automatic upon receiving Provost Office approval.  

Benefits of the New Policy:

  • Simplified process for accessing insurance coverage.
  • Comprehensive protection provided by Zurich, a global leader in insurance services.
