Hire Request or Change Request - GRA/GTA/PhD
Welcome to the A&S Graduate Education appointment portal. This academic transaction is crucial for the timely processing of these appointments.
Procedure for New Appointments:
Submission: To appoint a Graduate Student who has signed and returned the offer letter, the Department Director of Graduate Studies (DGS) must:
Download and complete the “Create Graduate Education Appointment” spreadsheet.
Submit the completed form through this portal, where it will be routed to the Associate Dean for Graduate Education, Dr. Cara Cashon.
Note: If the appointment is grant-related, the Principal Investigator (PI) should work with the DGS.
Approval: Dr. Cashon will review and approve the form to ensure it is fully actionable.
Processing: Dr. Cashon will forward the request to asgtahr@louisville.edu for A&S Human Resources to process.
If information is missing, the form will be returned to Dr. Cashon, who will then send it back to the DGS.
A&S HR will forward the request to the department’s UBMI and Dawn Clements.
Procedure for Changes, Reappointments, Terminations, or Late Appointments
- Submission: The Department DGS must:
- Download and complete the “Change Graduate Education Appointment” spreadsheet.
- Submit the completed form through this portal, where it will be routed to Dr. Cara Cashon.
- Approval: Dr. Cashon will review and approve the form to ensure it is fully actionable.
- Processing: Dr. Cashon will forward the request to asgtahr@louisville.edu for A&S Human Resources to process.
- If information is missing, the form will be returned to Dr. Cashon, who will send it back to the DGS.
- A&S HR will forward the request to the department’s UBMI and Dawn Clements.
NOTE: If transitioning from a GTA to a GRA, A&S HR will cancel the existing Period Activity Pay request and submit a new PAP in Workday.
