Guidelines for Developing Educational Exchange Agreements between the University of Louisville and International Institutions

The role of the International Center is to facilitate the development of exchange agreements between the University of Louisville and international institutions. The following guidelines will assist units and departments in the preparation of such agreements:

Broad Form Agreement

  1. After the faculty person, department, or unit has initiated preliminary discussions with one or more international institutions regarding the development of a potential inter-institutional cooperation, the lead person at the UofL department or unit should meet with the International Center staff to discuss the particulars of the Broad Form Agreement. The International Center will then draft the agreement following the Checklist for Broad Form Agreements.

  2. Once the draft of the Broad Form Agreement has been developed, it will be sent by the International Center to the Office of the Provost for review and approval. After it has been approved by the Office of the Provost, the agreement will be sent to the international institution for final review and approval.

    In the case that the international institution uses an official language other than English, the draft must be translated into this language and both copies should be sent to the international institution. The department or unit will be responsible for defraying translation costs.

  3. After the draft of the Broad Form Agreement has been reviewed and approved by the parties involved, two copies of both the English and the other language version (where appropriate) should be sent to the Office of the Provost for its endorsement. The Office of the Provost will send the agreement to the appropriate offices for its signature.

  4. The signatories will return the signed agreement to the International Center. The International Center will distribute one original of the signed documents to the foreign institution and a copy to the UofL department or unit. The International Center will be the official repository of the signed originals on the UofL campus.

Letter of Understanding

  1. After the Broad Form Agreement has been developed, there might be a need to develop Letters of Understanding to carry out specific projects/programs by the different UofL departments or units.

  2. The steps for developing letters of understanding are the same as the ones used to develop Broad Form Agreements, except that the department or unit is responsible for drafting the document, following the Checklist for Letters of Understanding developed by the International Center.
