Changes to Fall 2020 Reservations

Practice Physical Distancing, Thank You

In order to conform to the physical distancing guidelines recommended by the CDC and the state of Kentucky, the Student Activities Center has taken various measures to promote physical distancing and sanitary practices at events and meetings in the SAC and Red Barn for Fall 2020. We expect all students, staff, faculty, and community members using this facility to follow all recommendations as they host their programs. SAC staff is working hard to update the campus community on the most current measures and provide as much support as possible.

Though SAC staff is working very hard to support events and meetings as much as possible this Fall, we do encourage all event and meeting organizers to think critically about how their events can be carried out as virtually as possible so as to provide the highest potential for preventing the spread of COVID-19. The university has provided many resources for conducting meetings virtually and SAC technical staff is happy to provide advice for utilizing these resources.

Room Availability

In support of university efforts to physically distance classroom spaces, some spaces in the SAC have been designated for classroom use only during the Fall 2020 semester. Below is a list of rooms and the days of the week that they will NOT be available for reservation.

  • W118 (No Availability for Fall 2020)
  • W201 Multipurpose Room (No Availability for Fall 2020)
  • W310B (Monday-Friday)
  • W308 Floyd Theatre (Monday-Friday before 5:00 PM)

New Room Capacities

The current guidance is that all events will need to conform to physical distancing guidelines. SAC staff have identified new room capacities for available event and meeting spaces and the chart below lists capacities for classroom and hollow square setups. Other setup types may be available for large spaces and SAC staff can assist with identifying the appropriate capacity upon request.

Information Tables Closed

In an effort to limit groups gathering in hallways and common areas where dining service is being reconfigured, all SAC information tabling locations will be unavailable for use during Fall 2020. Student groups and university departments are encouraged to utilize SAC digital displays and other digital promotional efforts on campus to advertise events and activities.

Event Guidelines for RSOs

Recognized Student Organizations are expected to follow all COVID-19 event guidelines established by the Office of Student Involvement. Failure to follow these guidelines and complete the required event form may result in the cancellation of the event reservation and a restriction on future reservations.

Catering Guidelines

As the exclusive caterer of the SAC, Louis Events & Catering (Aramark), has revised their food service procedures to limit contact and keep customers safe. University departments and non-UofL groups are still required to utilize their services for all catering at events and meetings inside the SAC. However, departments and student groups are encouraged to utilize the services of Louis Events for events anywhere on campus because they are a trusted partner that is familiar with UofL directives on limiting the spread of COVID-19.

Recognized Student Organizations are still allowed the exemptions for catering as indicated in the SAC Catering Policy. RSOs must continue to follow all other food service guidelines as outlined by the Office of Student Involvement.

AV Equipment for Hybrid Events

SAC technical staff have assembled additional equipment to aid groups in producing hybrid events via video and audio streaming. Please contact SAC staff at sac-res@louisville.edu to request assistance for additional AV services at your next SAC event.
