Summer Housing
West Hall and Wellness House will be used this summer to house summer school students. In University Tower Apartments current residents on floors 9-11 are eligible to stay or those with fall assignments may check in throughout the summer. The on-line summer application should be filled out and the rate is specific to the type of apartment and number of roommates in the unit. At this time we need to know if you require housing for summer and if so, during which dates? Please complete the form and submit it by March 28, 2008. No housing can be assured for requests received after the deadline. Preference will be given to registered full-time students during the summer.
If you wish to cancel this assignment, you must do so online, two (2) weeks prior to the time you are scheduled to move in. Failure to follow this procedure or not check into your room within one (1) week after the date requested (no-show), will results in a $100.00 cancellation/no-show fee. Your student account will be charged the $100.00 cancellation fee and two (2) weeks rental fees.
There will be “NO REFUNDS” if you choose to move-out before the dates indicated on your Summer Housing Request form. Make sure your requested dates are correct.
You will be billed for the dates requested above. In order to facilitate transition between summer and fall term assignments, summer students with on-campus housing for the fall will be required to move to their fall assignments on or before the 3rd week in August. PLEASE READ CAREFULLY ALL OF THE TERMS SET FORTH IN THIS LICENSE.
Students with current outstanding balances will not be allowed to live in the residence hall until proof of payment is received. We will contact you if you have a balance due and cannot move it.
- Period of License: This license binds the student to live in the residence halls for the summer terms or period requested on this agreement – or for that portion of the agreement that remains after the student moved into the residence hall. If occupancy extensions to this agreement are approved by the Housing and Residence Life Office, the remaining terms and conditions of the agreement remain in force. Additional rent charges will be added to the student’s university account for any early arrivals or extensions of occupancy as listed on the front of this agreement. Students without on-campus housing for the Fall 2008 term must make plans to vacate their rooms by August 8 th. In order to facilitate the transition between the summer and fall terms, summer term students may be required to move to their permanent fall assignment anytime after August 8 th.
- Eligibility: Students eligible to live in a residence hall must be registered fee-paying students at the University or approved institution for at least one summer term. Full-time students will be given preference over part-time students.
- Cancellation Penalty and Administrative Charges: Students are responsible for their assigned rooms/apartments and the furnishings. Should damages occur, student account will be assessed the cost of the damages. Improper checkouts, lost keys and key fobs will be charged against students’ accounts. In addition, student account will be assessed the amount of $100.00 for:
- Failure to cancel room assignment by specified deadlines.
- Breaking of license terms.
- Failure to follow policies and procedures contained in the Housing Herald handbook including but not limited to: damages, improper check-out, illegal moves, lost keys, and furnishings.
- Approved cancellation during term.
- Payments: Once an assignment is made, billing is automatic. Payment for housing must be made through the University Bursar’s Office. Payment is due at the time of registration or no later than the due date on the statement of account or upon move-in after bills have been sent out by the Bursar. Student accounts must be financially settled throughout the Housing Agreement period.
- Assignments: Each student who receives an assignment will be provided with a space in a room or apartment. This space could be shared with one or more students depending on the size of the room/apartment and the option chosen. The University reserves the right to make assignments of space without notifying the present resident(s) in an attempt to meet the demand for student housing. Efforts will be made to assign students with their preferred roommates, if paperwork is turned in at the same time. The term “room” means double occupancy in a double room. A private room shall be any room for which a student has paid single occupancy rates. Apartment refers to those units in University Tower and Med-Dent Complex.
- Rent Refunds: No rent will be refunded once you check in and the summer term begins. See the cancellation policy given earlier in this form. Appeals may be made for early check out and will be reviewed on an individual basis. If appeal is approved a $100.00 cancellation fee will apply. Special circumstances include medical conditions or university class cancellations. Documentation is required.
- Indemnification Clause: The student agrees to hold harmless the University from any suit, action at law, or other claim resulting for an injury to the student’s person or property while living in University housing under this agreement, unless the injury is caused by the negligence of the University or its agents.
- Damages: The student is responsible for the assigned room/apartment and its furnishings. The student shall reimburse the University for damages to the room/apartment and its furnishings.
- Policy Violations: Should a student commit a violation(s) of housing policy as listed in the Housing Herald, it may result in revocation of the License and termination of residency. No refund will be issued to students who lose housing for this reason.
- Consolidation: The University reserves the right to make assignments of space, to authorize or deny room and roommate changes, to consolidate vacancies, and to require a student to move from one room or residence hall to another in an attempt to achieve a more effective or efficient resident hall program. The Housing and Residence Life Office does not discriminate based on race, creed, or national origin when making assignments.
- Right of Entry: The University reserves the right of entry into a student’s room/apartment during an emergency or for any other purpose in accordance with University policy, as stated in the Housing policies and procedures.
- Subleasing: The License Form may not be transferred to another person. Sub-leasing or unauthorized roommates are prohibited unless written approval is received by the Housing and Residence Life Office. Residents will be held responsible for upholding this policy. Violations may put this Housing Agreement in jeopardy. To ensure safety and health standards, the total number of occupants per bedroom in apartment units shall not exceed 2 adults and 1 child per bedroom.
- Cleanliness: The residents of each room/apartment are responsible for the cleanliness of the entire unit. In order to meet health regulations and control outbreaks of infestation, certain standards of cleanliness are necessary. After written warning, failure to meet standards of cleanliness will constitute a violation of the agreement and termination of this license.
- Amenities: The University will furnish water, gas, electricity, heat, maintenance service,, garbage and rubbish service and grounds care, but will not be liable for failure to supply any of the above services. Custodial service will be provided for the public areas only.
- Pets: Pets of any kind, except fish, are not permitted even for short term “visits.” Residents who are found with pets could have their license terminated and be held financially responsible for any damage to University property.
- Abandoned Property: Students are responsible for all check-out instructions provided and those listed as Housing policies and procedures. The University is not responsible for possessions left in rooms or apartment after the official closing or check-out date unless permission has been secured in advance from the Housing and Residence Life Office or Resident Director/Manager. All items that remain in the room/apartment after the official closing date will be considered the property of the University of Louisville.
- License Provisions: If any provision of this license shall be declared illegal or unenforceable, the remaining provisions will remain in full force and effect.
- Background Check: We reserve the right to deny, cancel, or remove from housing the individuals who provide false information as part of the application process, individuals with a documented history of violent behavior, and/or individuals whose histories or behaviors demonstrate the inability to function within the community environment of the residence halls.
- Failure to Pay: This license shall be subject to an early termination upon prior written notice of the University if the student fails to pay rent as required, or no longer holds student status or otherwise violates the terms and conditions of the license. In the event the license in terminated by the University under this provision, the student shall vacate the room/apartment on or before a date specified in writing by the University. If student should fail to vacate the room/apartment as required, University, upon giving student prior written notice and an opportunity for a hearing, may regain possession of the room/apartment by changing the locks. Any personal property remaining in the room/apartment will be considered abandoned and may be subject to disposal by the University.
Because the development of community is such an important part of residence hall living, acts or behaviors that demonstrate a lack of tolerance for others including, but not limited to, acts of violence and sexual, racial, or ethnic harassment or misconduct will be addressed swiftly within the residence hall discipline system and could involve termination of this license. No rent refund will be issued to students released from housing for this reason.
