Managing E-mail

A good way to keep the GroupWise mailbox size within 100MB is to use Auto Archiving and clearing out the sent mail folder. Manually Archiving files is a excellent way to keep your mailbox under the size limit. A new feature for GroupWise 6.5 is the mailbox size indicator in the lower right corner of your screen. This feature tells you what percentage of your mailbox space you are using. GroupWise offers a new feature called Notify that alerts you when you have new email or of an upcoming appointment.

A excellent technique to store your email is to create folders (personal or shared) in the GroupWise Cabinet. Once you've created several folders inside the GroupWise Cabinet you can add, remove, and sort columns.

Creating a GroupWise distribution list is a great way to communicate with others and it saves time! The Address Book also provides tools on how to delete an address book your no longer using. Adding a Signature in your email can prevent unnecessary typing in every email.

Occasionally, GroupWise will send an email back to you stating that the server has attempted to deliver mail but a delivery delay has occurred. If this occurs several times in a day please contact your Tier 1 or the HelpDesk. GroupWise has also introduced a Junk and Block list. Another feature that can also be used with GroupWise is the SPAM filter.

Another tool that will help with organization in GroupWise is the Calendar. The Calendar will allow you to schedule appointments, complete a busy search, proxy to other GroupWise users calendars, and post notes and tasks to your calendar. The GroupWise calendar offers many different ways to view your calendar and others calendars.

Note: Many business have size limitations for email messages and attachments. The University of Louisville also has a size limitation of 10MB for email messages and attachments. GroupWise users who wish to transfer attachments greater than 10MB may contact the IT Help Desk for assistance. The help desk staff will create temporary accounts and directories using the Large File Transfer service, to securely deliver files outside the university.
