Addressing Mail Using Last Name/First Name

  • Open the Address Book. Click on the Novell GroupWise Address Book tab to make it the active address book.
  • The first two columns in the address book should be Last Name and First Name. If these aren't the first two columns, follow the directions below:
    • Right click on the gray shaded area below the words "Search List" and select Last Name.
    • Reposition the Last Name column (if necessary) by dragging it to the left most position.
    • Right click on the gray shaded area below the words Search list and select First Name.
    • Reposition the First Name column (if necessary) by dragging it to the position immediately to the right of the Last Name field.
  • Remove the Name field from view by dragging it off the Search list (hand will turn into a trash can).
  • Click on the View menu and choose Information (it doesn’t matter what information is displayed).
  • Click on the Format button next to the Display Name field.
  • Make sure all the address books in the list are highlighted and click on the button for Show last name then first name. This is what allows you to type a last name on the "To" line of a note or appointment and the auto-fill to complete the name.

Forwarding GroupWise Mail

This procedure sets a rule for your GroupWise account to automatically forward all incoming items to another account.

  • From Tools menu select Rules.
  • Click New to start a new rule.
  • Enter Forward Mail for the Rule Name.
  • Choose New Item for When event is.
  • Choose Received for And items are.
  • Choose Mail, Appointments, Tasks, Note, Phone Message for Item Types.
  • Click the Add Action button and choose Forward.
  • Enter userid@host.domain on the To line.
  • Click OK.

You can stop at this point, or if you want to delete the item from your GroupWise account after it has been forwarded to an alternate account, proceed with the following steps:

  • Click on Add Action and choose Delete/Decline.
  • Click OK.
  • Click Save.

Notification of Incoming Mail and Upcoming Appointments

USE AT YOUR OWN RISK!

This feature, called GroupWise Notify, is not currently supported by IT due to inconsistency in performance. It usually works, but not always. Other bugs include 1) notification of appointments continues, even when appointments have been deleted 2) the sound feature alone should not be used, since this tends to cause an endless loop of sounds. Either the pop-up window alone, or the pop-up window and sound should be enabled.

PLEASE DO NOT CALL THE HELPDESK if you encounter problems. This feature will be supported in the future, but not until Novell has ironed out the bugs.

This having been said, you are free to use GroupWise Notify if you so choose. GroupWise Notify will alert you of upcoming meetings and incoming mail with a sound and a pop-up window. To activate GroupWise Notify, simply double click on the "notify.exe" file. This file can be found in c:/nalapps/GroupWise (if NAL is on the desktop) or c:/GroupWise. Do a search for "notify.exe" if not found in either location. Adding GroupWise Notify to the start up menu will activate this feature automatically.
