How do I enroll my unit or school in the Microsoft Campus Agreement?
When a unit or school decides to participate, the Unit Business Manager can indicate or renew participation in the Microsoft Campus Agreement by completing the online form. ULink user ID and password are required for registration.

How are the rates for the Microsoft Campus Agreement calculated?
Microsoft recommends that Information Technology use the official university IPEDS data for the FTE headcounts. IPEDS stands for Integrated Postsecondary Education Data System and is the federal postsecondary data collection system established by the National Center for Education Statistics. From UofL IPEDS data, a report has been prepared which provides the breakdown of FTE totals and cost to participate in the program.
When will the Microsoft Campus Agreement be billed?
Microsoft Campus Agreement charges will be assessed in August 2013.
Why does the FTE count in the IPEDS report differ from the FTE count in my department today?
The FTE count is taken from IPEDS on November 1, 2012. Your report will not reflect any FTEs added or removed after that date and may cause your current FTE count to vary from IPEDS. Your renewal cost is calculated using the November 1, 2012 data and will not be adjusted to reflect the FTE count during the renewal period (May 2013).
Are house staff eligible to purchase from the Microsoft Campus Agreement? (non-computer users such as custodians, maintenance, food service staff are included in house staff)
No. They are not counted in the FTE; therefore they are not eligible to purchase off of the agreement.
Are temporary employees eligible to purchase from the Microsoft Campus Agreement?
No.
What about graduate student workers?
Yes. They must be included in the FTE count and counted as 1/2 FTE.
What about student workers?
Yes. They do not have to be counted in the FTE. If the student worker's unit or school participates, the student is covered.
What about students?
No. Students are covered under a special student select agreement. They are not included in the Microsoft Campus Agreement.
What about labs?
Yes. Any labs in a unit or school that participates in the Microsoft Campus Agreement are covered at no additional cost.
Not all members of my unit or school want to be in the agreement. Can we still participate?
No. All members of a unit or school must be covered in the agreement.
My unit or school is no longer participating in the agreement. Can I still use the software?
No. Cessation of the agreement requires participants to remove all software installed and/or purchase individual licenses for all products you wish to keep.
Can I still get a discount if I'm not a participant?
Yes. You can purchase Microsoft products at the student discount rate. Contact iTech Xpress at 852-4943 for more information.
What if a FTE moved to another department but is still showing on my department's FTE count?
Your department's Unit Business Manager (UBM) can initiate an intra-university transfer (IUT) of funds between your department and the FTE's new department.
