Academic Grievance Procedure

Section 1: Introduction

This procedure is designed to provide fair means of dealing with student complaints regarding a specific action or decision made by the faculty or a faculty member. Students who believe they have been treated unfairly, discriminated against, or have had their rights abridged may initiate a grievance (The Redbook, Section 6.8.1).

The Unit Academic Grievance Committee has the power to hear all grievances involving academic matters other than substantive grade appeals. Academic matters are defined as those concerning instructional activities, research activities, activities closely related to either of these functions, or decisions involving instruction or affecting academic freedom (The Redbook, Section 6.8.3). The Unit Academic Grievance Committee may review allegations that a course grade has resulted from an unfair procedure. However, the committee should not substitute its judgment on their merits as an evaluation of academic performance. Where the dean concurs that procedural irregularities have occurred, the dean shall consult with an appropriate faculty committee as to the grade to be recorded on the student's official transcript.

To assist the student, a Student Grievance Officer is provided, who is responsible for informing students of their rights and obligations under the grievance procedure and especially the deadlines that have been established. The Student Grievance Officer shall seek to resolve informally as many grievances as possible (The Redbook, Section 6.8.2).

Students are encouraged to seek the assistance of the Student Grievance Officer at any stage of the grievance process.

Each unit shall establish an Academic Grievance Committee to carry out the procedures described below.

To pursue a grievance concerning academic matters within the academic unit, the following steps of the grievance procedure should be observed:

  1. The student should first discuss the matter with the person involved and attempt to resolve the grievance through informal discussion.
  2. If there is no resolution, the student should discuss the matter with that person's supervisor or the person to whom such person reports, who should attempt to mediate a resolution.
  3. If the student has not been able to obtain a resolution, he or she may request the Student Grievance Officer (S.G.O.) to attempt informal mediation of the problem.
  4. If the matter has not been satisfactorily resolved through the informal process, the student shall submit a written statement of the grievance to the Unit Academic Grievance Committee through the Office of the Dean. The statement shall contain -
    a. A brief narrative of the condition giving rise to the grievance;
    b. designation of the parties involved; and
    c. statement of the remedy requested.

  1. Contact the student and the Student Grievance Officer to obtain assurance that all steps of the above informal process were completed and that those issues in the statement were discussed at all levels.
  2. Notify the parties named in the statement of the grievance naming them; and send a copy of the statement to the named parties and to all committee members.
  3. Notify the grievant and the respondent of the right to challenge committee members for cause, and request early notification of challengers to expedite the grievance procedure. Included in this notification will be a list of the names of all current, regular committee members.
  4. Meet within twenty working days after receiving the written statement of any grievance and recommend to the dean of the unit whether sufficient grounds exist to accept a case for hearing. The committee shall hear the case when the dean concurs. The committee shall notify, in writing, all persons directly involved as to the reasons for its recommendation.
  5. The action of the grievance committee as to whether to grant a hearing when accepted by the dean of the unit shall be final and binding on all parties except when subject to the condition of appeal.
  6. If a hearing will be held, notify in writing all the parties involved, including any witnesses, of the date, time and place of the hearing at least ten days prior to the hearing date (which shall be within 30 working days of receipt of the written grievance).
  7. Request in writing from all parties involved any pertinent material deemed necessary for review by the committee prior to the hearing. These materials, and any additional materials either party chooses to submit, must be submitted to the committee not later than four days prior to the hearing. Any person named in a grievance may submit a written statement to the committee outlining issues from that person's perspective.
  8. Maintain confidentiality throughout the entire grievance process. All communications among the committee, the grievant(s), and the person(s) named in the statement of grievance will be confidential.

Section 4: Hearing Process

All hearings conducted by the Unit Academic Grievance Committee shall be conducted confidentially in the following manner:

  1. The grievant(s) and the respondent(s) must be present during the information gathering portion of the hearing. Witnesses will be available and will be called when needed. The committee reserves the right to allow the presence of a secretary or a technical assistant.
  2. All statements during the information-exchange phase of the hearing will be tape recorded. This record will be preserved in the University Archives for a minimum of five years and shall be confidential.
  3. Any committee member may question any of the participants at the hearing.
  4. The grievant will present his or her statements and/or witnesses to the committee.
  5. The respondent will have the opportunity to question the grievant(s) and the witnesses about their statements.
  6. The respondent will present his or her statements and/or witnesses to the committee.
  7. The grievant will have the opportunity to question the respondent(s) about their statements.
  8. After all information is exchanged, all persons except the committee members and the recording secretary will leave the committee room. The grievant(s), the respondent(s), and the witnesses will continue to be available to the committee should further information be needed.
  9. The committee will meet in closed session to decide upon its recommendation(s) to the dean.
  10. The committee shall submit its report with recommendation(s) and reasons for the recommendation(s), to the grievant(s), the respondent(s), and the dean. If the grievance directly involves the dean the report and recommendation(s) of the Unit Academic Grievance Committee shall be referred for decision to the appropriate academic vice president (now referred to as the University Provost).
  11. The student's grievance will not be included as part of the student's record, unless it results in a change in student status or the student voluntarily inserts the information.
  12. Until the grievance is resolved, the student may continue the natural academic progression through the academic unit subject to the requirements of Article 6.6, Academic Review. Advancement, Probation, and Dismissal of Students, and Article 6.7, Nonacademic Disciplinary Procedures, of The Redbook.

Section 5: Decision

The dean shall approve or reject the committee's recommendation(s) within 28 days after receiving it (them). If decision of the dean is not in accord with the committee's recommendation(s), the dean shall state the reasons for that decision, in writing, to all persons directly involved in the grievance and to the committee. The dean shall then take appropriate action to implement his or her decision after the time for appeal has elapsed.

Section 6: Rehearing

A grievance committee, within 21 days after delivery of its report, may be petitioned to reconsider its decision upon the basis of evidence of misrepresentation of material facts or upon the basis of newly discovered evidence clearly not available at the original hearing.

Section 7: Appeal

Any party to the grievance may appeal to the University Student Grievance Committee within 21 days from the date of the final decision of the dean if the dean's decision does not concur with the recommendation of the grievance committee.

ADA Guidelines for Students with Disabilities

The University of Louisville is committed to equal opportunity and challenge for all academically qualified students and does not discriminate on the basis of disability. Support services and accommodations are available to encourage students with disabilities to take full advantage of the University's educational, social, and cultural opportunities.

The Disability Resource Center (Stevenson Hall, 852-6938) is responsible for the coordination of programs and services for qualified applicants for admission and enrolled students with disabilities. Visit the Disability Resource Center website. Determination of eligibility for services and appropriate accommodations is determined by staff of the Disability Resource Center after review of documentation of disability.

As needed, DRC staff will discuss the student's request for services with the student to determine appropriate accommodations and/or consult with the faculty member or other involved office regarding the request. When there is any question about the appropriateness of the student's requested accommodation, the DRC staff member will inform the student of the decision.

Questions or concerns related to policies and procedures not resolved with individual DRC staff should first be discussed informally with the Director of DRC and then be subject to informal consultation with the Dean of Students. Matters not resolved informally may be formally presented by the student to the ADA Compliance Officer (Staff Development and Employee Relations Office; 852-6536 or 852-6538). A complaint should be filed within 180 days after the complainant becomes aware of the alleged violation. Formal appeals include a written statement regarding the nature of the complaint, results of the informal meetings, and requested resolution. All formal appeals will be promptly investigated and a decision will be rendered within 60 working days of the date of receipt. Please contact the Staff Development and Employee Relations Office for additional information on the grievance procedure.

Applying for and Requesting Support Services

Referrals - Students and potential students are referred to DRC by publications such as U of L application packets, schedules of classes and catalogs. Students are referred by community agency personnel, U of L faculty and staff and other students, high school counselors, health care professionals, family members and others. Referrals are made verbally or in writing. Referrals should be routed to the appropriate coordinator or to the Director when DRC staff have questions regarding the appropriate staff member to work with a student.

Submitting Documentation of Disability

All students seeking assistance from DRC must disclose the presence of a disability. In most cases, the student will be asked to submit documentation of disability for review by the appropriate DRC staff person. Upon receipt and review of the documentation, an intake appointment will be scheduled. Contact the Disability Resource Center for additional information about guidelines for diagnostic criteria.

Intake Appointment

After review of documentation, the appropriate coordinator will contact the student for an intake appointment. At this meeting, the student's eligibility for support services and anticipated accommodations will be discussed. Policies and procedures regarding specific support services, such as letters for faculty, exam accommodation, supplemental note-taking service, etc., will be discussed.

Requesting Specific Support Services

It is the responsibility of the student to request specific support services each semester. Please remember that services can generally occur only after submission of appropriate documentation, review by the coordinator, determination of eligibility for specific services, and request by student for specific services.

Timeliness of Requests

Submission of service requests for instructor letters, exam accommodation, and supplemental note-taking services should generally be submitted no later than two weeks prior to beginning of term. Some services (such as interpreter service and taped textbooks) require much more notice. Please refer to policies and procedures for specific services such as reader service, interpreter service, for additional information on timeliness of requests. Although DRC staff will make reasonable effort to accommodate all requests, untimely requests may result in delay of service.

Academic Adjustments

Academic requirements will be modified, as necessary, to ensure that they do not discriminate against qualified applicants or currently enrolled students with disabilities. At the student's request, DRC staff recommend academic adjustments in compliance with legal mandates. Academic requirements that are essential to programs of instruction are not considered discriminatory.

Modifications shall not affect the substance of the educational programs or compromise educational standards. Students can ask the appropriate DRC staff member to provide a memo recommending academic adjustments for each class in which the student is enrolled. Because of the diversity of individual needs relating to disabilities and the uniqueness of each class, students must discuss their requests for course modifications.

The Air Force offers a commissioning program for students in all academic disciplines, including nursing, law, engineering and pre-med. The first year of AFROTC does not incur an obligation. Graduates are commissioned as lieutenants and serve in a variety of career fields ranging from pilot and navigator through financial analyst. A variety of scholarship opportunities are available. AFROTC field training counts as an engineering co-op.

Army ROTC is a leadership development course designed to commission students in all academic disciplines as second lieutenants in the US Army. The first two years of ROTC offer introductory training in leadership without any obligation. Graduates of our program are commissioned as second lieutenants and serve in one of the many career fields employing the latest in technology. Scholarship opportunities are available at all levels and any ROTC course counts for a physical education or elective credit. The Professor of Military Science has remitted tuition for the University to assist qualified students.

Assistance for Student Problem Resolution

The University of Louisville offers students a number of ways in which they may seek assistance with problems or to attain information in both academic and non-academic matters. We recommend that the student initially work with the department to resolve the conflict or misunderstanding. The following resources are available to the student for further assistance.

The Baptist Center (BCM) exists to share and live out the Gospel of Jesus Christ in partnership with local churches. Programs include ReFuel, which is a weekly worship service, ReFresh, which is a Bible study and fellowship for freshmen, and RePlenish, which is a Thursday $1 lunch for all the university community. All students are invited to participate and do not have to be a "Baptist" in order to do so. Students with a valid ID may cash personal checks in amounts up to $25. This cashing a check option is available to currently enrolled students between the first day of a semester to two weeks prior to end of that same semester. The privilege of cashing checks will be denied to students for one year when a check is returned by their bank. Currently, a returned check fee of $25.00 is assessed for each returned check. Health Promotion Wellbeing Central:

Prevention, Education, and Advocacy on Campus and in the Community

A unit within Campus Health Services working to end power-based personal violence by providing the campus community with tools and support to help make that happen. U of L’s PEACC program believes that every student has the right to live, learn, and love free of violence and fear. In addition to the prevention efforts, PEACC provides confidential advocacy to those who are affected by sexual assault, relationship violence and stalking. A trained advocate will listen and can assist with accommodations, resource, and reporting options.

Building Resiliency in Campus Community:

A Campus Health Services community partnership providing leadership in advancing policies, programs, resources and experiences that increase resiliency and reduce high risk drinking and substance use in the campus and community. BRICC’s efforts target individual, group, organization and community levels. BRICC serves as a lead advocate in the implementation and integration of Alcohol Edu-Haven online alcohol and sexual violence prevention for every incoming first time freshmen to help them make well- informed decisions as they transition to UofL. While the on-campus program is designed to help first year students, Campus Housing has an affiliated community presence in privately owned and managed apartment communities off campus. These are designed for the returning student who is ready for more independent living. The affiliates are a university resources that promotes student success and academic achievement.

Cardinal Card/Campus Card

The Cardinal Card is the official identification card for UofL students, faculty, and staff. The card is also used to access residence halls, meal plan funds, off-campus retail and dining, athletic tickets, library privileges, gym/facilities, and free TARC rides among many other uses.
Incoming freshman and transfer students will receive a Cardinal Card during their orientation session. Students who do not attend orientation and have already registered for classes can receive a card starting August 1, 2016. New employees will receive their card during orientation.

There is no charge for the first card; replacement cards are $10.00. A photo ID is required.

Chalking Policy

Chalking is permitted only on sidewalks using light colored chalk in open, horizontal areas to allow for eventual removal by rainfall. Do not chalk under an overhang on the buildings, the side of a building or under ramps. Chalking is not permitted directly in front of doorways or on stairs to the building. Chalking is also not permitted on the sidewalks around the Speed Art Museum and within 50 feet of any of the Residence Halls. The use of industrial chalk, spray chalk or paint on sidewalks or buildings is prohibited.

Check Cashing

Students with a valid ID may cash personal checks in amounts up to $25. This cashing a check option is available to currently enrolled students between the first day of a semester to two weeks prior to end of that same semester. The privilege of cashing checks will be denied to students for one year when a check is returned by their bank. Currently, a returned check fee of $25.00 is assessed for each returned check. Checks are also accepted for payment of fees. Money machines are located on Belknap campus inside the James Grier Miller Information Technology Center, in the Student Activities Center on the first floor (West Wing) and on the second floor (East Wing), and on the HSC campus next to the cafeteria in the Library and Commons Building.

The university holds commencement ceremonies in May and in December. The University-wide ceremony features speakers, awards, and conferring of degrees. Students receiving degrees at the end of the spring term may participate in the May commencement ceremony. Students receiving degrees at the end of the summer and fall term may participate in the December commencement ceremony. For information on the ceremony please visit the commencement web site.

Acquiring healthy coping skills, learning to communicate better, and strengthening existing relationships are common outcomes for students who come to the Counseling Center. Talking to a psychologist or a professional counselor can be a step in the right direction when dealing with the anxiety, tension, depression, or confusion that can be brought on by today's rapidly changing world. The Center provides short-term individual counseling, group counseling, walk-in crisis assistance, and consultation. Currently enrolled students are eligible for an intake at the Center. The intake counselor will then determine with you what form(s) of treatment will best meet your needs. This may include services at our Center or may require a referral to an outside agency. Counseling services are confidential to the limits specified by law.

The Dean of Students Office supervises and provides organizational and fiscal coordination to the following departments: Intramural and Recreational Sports, Student Involvement, Off Campus Student Services, Student Clubs and Organizations, Fraternity and Sorority Life, Civic, Leadership and Service, and the Student Government Association (SGA). The Dean of Students Office directly administers the non-academic disciplinary process including informal meetings and formal conduct hearings, the production of the Code of Student Conduct and the Student Handbook. In addition, the Dean of Students Office coordinates special co-curricular programs such as the National Student Exchange (NSE) and the Alternative Spring Break trip (ASB).

The Dean of Students Office also responds to questions and concerns from students regarding non-academic issues. This office will refer a student to the best place for his/her problem resolution and handles complaints that may constitute a violation of the Code of Student Conduct.

The Disability Resource Center staff provides and coordinates support services for students with disabilities. Drug-Free Schools and Crime Awareness, Campus Security Information Report 1993, and Communities Act Amendments of 1989

The University of Louisville is committed to protecting the safety, health and wellbeing of all students, faculty, and staff and other individuals in our workplace. We recognize that alcohol abuse and drug use pose a significant threat to our goals. As a recipient of federal grants and contracts, the university gives this notice to students, faculty and staff that it is in compliance with the Drug-Free Workplace Act of 1988 (Pub. L. 100-690, Title V Subtitle D) and the Drug-Free Schools and Communities Act Amendment of 1989. Students, faculty and staff are herein notified of the standards of conduct that will be applicable while on university property, business, and/or at university sponsored activities. This policy is incorporated and is a part of the official University of Louisville Policies and Procedures.

This policy recognizes that student, faculty, and staff involvement with alcohol and other drugs can be very disruptive, adversely affect the quality of work or academic performance of student, faculty and staff, pose serious health risks to users and others, and have a negative impact on productivity and morale.

As a condition of employment or enrollment, the university requires that students, faculty and staff adhere to a strict policy regarding the use and possession of drugs and alcohol. The university encourages students, faculty, and staff to voluntarily seek help with drug and alcohol problems.

Under university regulations, federal law, state law, and, in some instances, local ordinance, students, faculty and staff are prohibited from the unlawful possession, use, dispensation, distribution, or manufacture of illicit drugs on university property, on university business and/or at university sponsored activities. Under this policy, students, faculty and staff are required to abide by state laws concerning alcoholic beverages. Basically, Kentucky laws (KRS 244.085) state that, if one is under the age of 21, it is unlawful to:

  • Possess or consume alcoholic beverages,
  • Misrepresent one’s age for the purpose of purchasing alcoholic beverages, or
  • Use a fake ID in an attempt to purchase alcoholic beverages.

No matter what one’s age, Kentucky law states that it is unlawful to:

  • Procure any alcoholic beverages for anyone under 21 years of age or
  • Drink or be drunk in a public place.

University campuses and buildings are considered as public places for purposes of these laws, except for a facility licensed to serve alcoholic beverages, and except for a facility used as a private residence, unless university regulations state otherwise. Ordinances of the Greater Louisville area basically parallel the state laws.

The specifically defined standards of conduct, the disciplinary procedures, and the appropriate sanctions are detailed in the codes of student conduct and in Personnel Policies and Procedures (PER-5.01), Staff Handbook (Disciplinary Action, page 8.2) and The Redbook.

In addition, it is a violation of state law to operate a motor vehicle while under the influence of any substance that may impair one’s driving ability (drugs or alcoholic beverages).

Prescription and over-the-counter drugs are not prohibited when taken in standard dosage and/or according to a physician’s prescription. Any student, faculty, and staff taking prescribed or over-the-counter medications will be responsible for consulting the prescribing physician and/or pharmacist to ascertain whether the medication may interfere with job or academic performance.

The illegal or unauthorized use of prescription drugs is prohibited. It is a violation of our drug-free workplace to intentionally misuse and/or abuse prescription medications. Appropriate disciplinary action will be taken if job or academic performance deterioration and/or other accidents occur.

Under university regulation, students who violate this standard of conduct are subject to disciplinary action from a minimum of a warning to a maximum of suspension from the university. Students who reside in university housing are subject to further disciplinary action that may vary from a warning to termination of their housing contract.

In compliance with the Federal Drug-Free Workplace Act of 1988, any employee shall notify the immediate supervisor if the employee is convicted of a criminal drug offense occurring in the workplace or while on university business within five days of the conviction. The university shall take appropriate sanction and remedies in accordance within its policies. The provisions of this section are applicable to students who are employees of the university. If the employee is under a federal contract or grant, the university shall notify the contracting or granting agency of the conviction and of its actions. This section of this policy is also applicable to students who receive a Pell grant (federal grant).

The scope and impact of health risks from alcohol and drug abuse are both alarming and well documented, ranging from mood altering to life threatening, with consequences that extend beyond the individual to family, organizations and society at large. The university, therefore, conducts regular programs to educate its students, faculty and staff that consumption and use of drugs may alter behavior, distort perception, impair thinking, impede judgment, and lead to physical or psychological dependence.

Alcohol and/or drug abuse may lead to the deterioration of physical health by causing or contributing to various health conditions including but not limited to fatigue, nausea, personal injury, insomnia, pathological organ damage, some forms of cancer, pancreatitis, heart attack, respiratory depression, birth defects, convulsions, coma, and even death. Alcohol and drug abuse may also result in deterioration of mental health by causing or contributing to various conditions such as increased aggression, hallucinations, depression, disorientation, and psychosis.

Alcohol consumption causes a number of marked changes in behavior. Even low doses significantly impair the judgment and coordination required to drive a car safely, increasing the likelihood that the driver will be involved in an accident. Low to moderate doses of alcohol also increases the incidence of a variety of aggressive acts, including spouse and child abuse.

Moderate to high doses of alcohol cause marked impairments in higher mental functions, severely altering a person’s ability to learn and remember information. Very high doses cause respiratory depression and death. If combined with other depressants of the central nervous system, much lower doses of alcohol will produce the effects just described. Repeated use of alcohol can lead to dependence. Sudden cessation of alcohol intake is likely to produce withdrawal symptoms, including severe anxiety, tremors, hallucinations, and convulsions. Alcohol withdrawal can be life threatening. Long-term consumption of large quantities of alcohol, particularly when combined with poor nutrition, can also lead to permanent damage to vital organs such as the brain and the liver.

Mothers who drink alcohol during pregnancy may give birth to infants with fetal alcohol syndrome. These infants have irreversible physical abnormalities and mental retardation. In addition, research indicates that children of alcoholic parents are at greater risk than other youngsters of becoming alcoholics.

Continuous efforts are made to make students, faculty, and staff aware of the on-campus and off-campus programs that provide information and professional services on matters related to the abuse of alcohol and drugs.

The Counseling Center and Student Health Services provide assessment and referral services to University students, as well as serving as an alcohol and other drug information/education resources center. In the Greater Louisville area, the number for Alcoholics Anonymous (AA) is 582-1849; the number for Narcotics Anonymous is 499-4423. (Check local telephone directory for listings).
Seven Counties Services (589-4313) offers a crisis and information center with a 24-hour, 365-day-a-year hotline for those with alcohol or drug abuse problems. Ten Broeck Healthcare (896-0495) offers acute care residential treatment for adults with alcohol or other drug problems.

Many other services are available and may be located by looking in the local phone directory yellow pages under "Social Services" or "Alcoholism" or in the "Community Service Guide" section at the front of the telephone directory. Treatment for alcoholism and/or other drug use disorders may be covered by the employee benefit plan. However, the ultimate financial responsibility for recommended treatment belongs to the employee.

The Office of First Year Initiatives (FYI) provides enriching curricular and co-curricular opportunities to help all new students develop the fundamental skills, knowledge, and personal connections essential from their first year at UofL through graduation. FYI has a number of signature programs to help new students be successful in their transition to UofL. To bridge the gap between New Student Orientation and the fall semester, CARDS Connection pairs all incoming first-time students with an upperclass peer mentor. The Student Tutorial Online Module Program (STOMP) maximizes university technology to ensure that all incoming students have access to the information they need to be successful at UofL. Welcome Week helps new students become an active part of UofL and Louisville area communities. The CARDS Success Series includes highlights of important events during Welcome Week and throughout the year that will help allow new students to transition seamlessly and be engaged by centering on five key aspects of the UofL experience: Community, Academics, Responsibility, Diversity and Service (CARDS). The Book-in-Common (BinC) program couples curricular and co-curricular events to promote students’ learning and critical thinking and to foster connections among faculty, staff and students. And the FRY Newsletter is emailed each month to keep new students in-the-know.

Hazing and Initiation Activities Policy

The University is dedicated to promoting a safe and healthy campus environment for its students, faculty, staff, and visitors. As such, the University does not tolerate hazing.

As required by KRS 164.375, the University has adopted a policy prohibiting hazing activities that applies to the conduct of students, faculty and staff, as well as visitors, other licensees and invitees on campus.

Hazing. Engagement, encouragement, or facilitation, by any organization or by any individual on behalf of an organization or group (recognized or not recognized by the university), or visitor within the University of Louisville community in any action or situation which recklessly or intentionally endangers mental or physical health; creates an atmosphere of servitude; involves dangerous, demeaning, or ridiculing activities; involves the forced consumption of liquor or drugs; for the purpose of initiation, admission into, affiliation with, or as a condition of continued membership in, a group or organization. It is also a violation to allow yourself to be hazed. The express or implied consent of the individual will not be a defense. Apathy or acquiescence in the presence of hazing is not a neutral act; it is a violation of the Code.

Violation of this policy by any student or student group will subject the individual and/or student group to the Student Code of Conduct University faculty or staff, are subject to disciplinary action under the provision of the Redbook.

Violations of this policy are subject to referral to appropriate University, and law enforcement officials, as well as to regional and national affiliated offices, for action or prosecution.

The University of Louisville recognizes that respect for intellectual labor and creativity is vital to academic discourse and enterprise. The University of Louisville encourages respect for the intellectual property rights of others and expects you to abide by applicable intellectual property laws (e.g., copyright, trademark, patent) and licensing agreements, which control the use of intellectual property. This intellectual property may include software, documentation, multimedia, and other content (for example: digital databases, pictures/graphics, movies/videos, music/sound recordings in multiple formats such as GIF, JPEG, MPEG, MP3). U of L neither condones nor authorizes the making of copies in violation of U.S. copyright law (Title 17, U.S. Code) or other applicable law and neither condones nor authorizes the making of copies in violation of a binding licensing agreement. Lack of copy-protection does NOT constitute permission to copy. If you have an authorized (or legal) copy of software, you may make an archival copy of the software for backup purposes. If you transfer the original to someone else, the backup copy should also be given with the original or destroyed.

The Internet and the web make intellectual property readily available. Don't assume that because it is available on the web that you can download it and use if freely. A large portion of material on the web is copyrighted (yes, even without the copyright symbol). Plus there are often other contractual or licensing restrictions on its use.

"Fair use" depends heavily on the particular facts of the situation. Use of materials for classroom assignments often meets the fair use criteria. "Fair use" guidelines exist for some situations. However, if you are doing something outside these guidelines, you are advised to check copyright resources (such as those available via the URL which follows) or check with someone knowledgeable about "fair use" criteria. International Student Adviser

The International Student and Scholar Services (ISSS) office at the International Center provides services for non-immigrant international students, scholars and their dependents engaged in study and research activities at the University.

We offer welcome orientations and ensure maintenance of immigration status for the non-immigrant population. The office assists with: arrival immigration documents, processing of immigration benefits, housing, bank accounts, driver’s license, social security card, personal, financial, academic and adjustment issues. In addition, the Center supports the Recognized Student Organization, American International Relations Club, which encourages interaction among American and international students.

Intramural and Recreational Sports

This department offers a wide range of recreational sports opportunities for student, faculty and staff including competitive sports, informal recreation, fitness, sport clubs and special events. It operates recreational sports facilities in the new Student Recreation Center and the HSC Fitness Center. These facilities are open to students, faculty, staff and alumni members (except HSC Fitness Center) and their dependents with a currently validated university ID. Use of the new Student Recreation Center requires a membership for faculty and staff, The HSC Fitness Center is free for faculty and staff.

On October 28, 2013, the department moved into the new Student Recreation Center on 4th Street between Kurz and Minardi halls. The new center is 128,000 square feet and features 6 basketball courts, 14,000 square feet of strength and fitness equipment, 117 pieces of cardio equipment, an indoor soccer court, martial arts room, 3 group fitness studios, an indoor track, squash and racquetball courts and an indoor golf simulator. There is also a snack bar featuring healthy smoothies and local produce options.

University mail Services provides mailing services for the University community on Belknap Campus, located at the North entrance of the Houchens Building and on Health Sciences Campus, located on the first floor of the Library & Commons Building. Stamped mail can be dropped off at Mail Services before 3:00 PM.

Mail boxes are available for students who reside in selected University housing where no mail delivery is available. You may register for the box the week of Welcome Weekend or anytime after that. There is a fee of $5.00 for the whole time you are in housing, provided you reserve your mailbox anytime you leave campus housing for an extended period of time (i.e. summer, co-op, moving off campus). Metropolitan College (MC) is a joint venture between the University of Louisville, Jefferson Community and Technical College and UPS. This nationally recognized partnership provides access to a tuition-free post-secondary education for undergraduate students and outstanding employment opportunities. To participate in this program as a UofL student, you must be admissible to the university and meet Metropolitan College admission requirements (Earned 60 or more transferable college credit hours or have an ACT composite of 21 or above and a high school grade point average of 3.0 or above). A strong student services component is built into the MC program to assist students as they manage working at UPS while balancing school and personal life. Any motor vehicle parked on University property, other than in paid meter spaces and designated pay parking locations, must display a valid University of Louisville parking permit. The Parking Offices issue parking permits, accept parking fine payments, provide a motorist assistance (MAP) program for minor vehicle problems such as flat tires, battery, keys locked in vehicle. An evening escort service is also provided to individuals to and from their vehicles. The service is provided through the Parking Office, Monday through Thursday, 7:30 pm - 1:00 am. The University Police will provide all other escorts outside of these times by calling 502-852-6111. Parking rules and regulations are published annually, issued with permits, and serve as guidelines for parking on campus. Replacement permits, for one-day, may be obtained from either of the Parking Offices. Persons with disabilities requiring accommodations should contact the Parking Office. A University handicapped parking permit is required to park on campus in HC designated spaces. A number of alternative transportation programs are offered at the University. REACH (Resources for Academic Achievement)

Resources for Academic Achievement (REACH) is the university's centralized academic support unit for undergraduate students. REACH conducts multiple services and programs from six different centers located in Strickler Hall, Ekstrom Library, and the Miller South Information Technology Building. These academic support services and retention programs offer students the opportunity to better prepare and adapt to college life and to improve their academic skills and performance in college courses. The REACH Welcome Center (Strickler 126 and lobby) provides a variety of student support services and is open Monday – Friday, 8:00am – 5:00pm. The Welcome Center provides students with an area to study or socialize between classes and the information desk staff is available to answer questions regarding REACH programs and services, as well as questions regarding the University at large. The Learning Resource Center (Strickler 107, 111 WEST):

Scheduled Tutoring offers students small group tutoring sessions each week for 100, 200, and many 300 level courses. These sessions provide guided study and review of course material. Tutoring requests are made online and appointments are scheduled for 60 minute recurring, weekly sessions. Online tutoring sessions are available for select courses. Supplemental Instruction (SI) is series of weekly review and discussion sessions attached to specific courses that are historically difficult for students. SI integrates how to learn with what to learn. SI sessions allow students to get extra help beyond the normal classroom. SI is voluntary and free, with sessions designed to assist small and large group of students. Find more information at:

Learning Assistance (LA) program is similar to Supplemental Instruction. Tutors, called Learning Assistants (LAs), attend each class with their students. LAs hold office hours each week for students to “drop in” for tutoring support or they hold weekly study/review sessions. LAs also hold exam review sessions before every major exam. The LA may also assist the professor with classroom tasks and exam preparation. Find more information at:

Individual Tutoring is available for students who have documented physical or learning disabilities and need accommodated tutoring sessions. Documentation must be provided to REACH from the Disabilities Resource Center at the time of a student’s request. Students receive individualized tutoring and additional tutoring time in scheduled onsite appointments each week. Find more information at:

Graduate Exam Preparation Workshops offer a series of instructional sessions for graduate and professional school entrance exams led by peer leaders who have earned high scores on these exams. Exam preparation workshops vary each semester, but may include sessions for the GRE, GMAT, MCAT, LSAT, and DAT. Interested students may also receive tutoring if preparing for CLEP, a national testing program designed to help students earn testing credit for selected general education courses. Modern Language Conversation Tables offer students conversation opportunities for practice in speaking a new language. Tables vary each semester, but may include Spanish, French, Arabic, ASL, German, and others. Modern language faculty promote these sessions as useful, additional practice sessions outside the classroom. Find more information at:

Supplemented College Reading Course (GEN 105) is an intervention course for college readiness required by KY state law for first-time, first-year and transfer students with less than 24 credit hours who are admitted to the university with identified college reading deficiencies. Students are required to register for a section of GEN 105 (1 credit hour) in their first college semester. All GEN 105 course sections require concurrent registration with a linked general education course in Biology, Psychology, or History. Find more information at:

Student Success Seminars, available to all U of L students, are 50 minute sessions on key topics that impact students’ academic success. Topics always include college strategies: time management, lecture note-taking, textbook reading, and test-taking. Online seminars are available at all times to students on the REACH Website. The Math Resource Center (Strickler 226 EAST):
The Math Resource Center (MRC) offers drop-in tutoring to students enrolled in most 100 and 200 level university mathematics courses, Special Topics in College Mathematics courses (GEN 103 and 104), and JCTC Pathways courses offered onsite at the university. Resources include knowledgeable tutors, a mini-computer lab for mathematics software and Web-based instruction, course textbooks, and solution manuals. The MRC also offers online resources such as appointment tutoring, practice worksheets, and links to helpful websites. Find more information at:

The Speed Calculus Preview Program is a fee-based summer program designed for first-year engineering students. Students are referred to this program based on scores earned on the online Algebra Readiness Exam available to all admitted engineering students prior to their first fall semester. This program provides an advanced algebra review to help students prepare for calculus in the J.B. Speed School of Engineering. Find more information at:

Special Topics in College Mathematics (GEN 103/104) are intervention courses for college readiness required by KY state law for students who are admitted to the university with identified college mathematics deficiencies. Placement in GEN 103 (for non-STEM majors) or GEN 104 (for STEM majors) is based on successful completion of MAT 65 (or equivalent course), ACT Math subscore, or a placement test score that does not meet the requirement for the general-education MATH course for the student’s intended major. GEN 103 and GEN 104 are computer-based courses (one elective-credit hour each) that focus on algebra topics—such as linear equations and factoring—and utilize an online homework, tutorial, and assessment program. Successful completion of GEN 103 or GEN 104 is required for entry to general-education mathematics course. Find more information at:

The Computer Resource Centers (1st floor Learning Commons in Ekstrom Library and 1st floor Miller South Information Technology Building) are located on the first floor of Ekstrom Library Learning Commons and in the lower level of the M.I.T.C. building - the iTech Zone. The CRC offers drop-in assistance for most student technologies used on campus, including Microsoft Office Suite products, Blackboard, ULink, Cardmail, wireless network access, password assistance, and basic computer operations. The Digital Media Suite (1st Floor Learning Commons in Ekstrom Library) located in Ekstom library on the 1st floor Learning Commons, offers access to equipment and support for the creation and editing of images, sound and video. Using the latest tools, students can access, analyze, evaluate and create digital multimedia projects. Specially trained REACH tutors are available to assist students with class projects and to offer technical support. The REACH Ambassador Programs are internationally certified peer mentoring programs that help UofL students transition and connect to their college experience. The Ambassadors help students be successful during college by providing support, leadership & advice and helping connect students to university faculty, staff and services. The REACH Ambassadors are comprised of 3 dedicated programs, each of which focuses on mentoring specific populations: first year students, transfer and returning students, and student veterans. The Red Barn is a multipurpose facility for educational, cultural, social and educational events sponsored by students, alumni and University groups. The Red Barn established in 1969, is now the home of the Red Barn Programs Office. The Red Barn Programs Office is also responsible for raising money to provide scholarships and emergency awards for U of L students and program funds for U of L student groups through four endowed programs which are the: Harold Adams Memorial Scholarship Fund, the Red Barn Alumni Association (RBAA) including the Florence M. Strickler Endowment and the RBAA Endowment, the Dennis C. Golden Torchbearer Program including the Dennis C. Golden Torchbearer Endowment and the George J. Howe Endowment and the George J. Howe Student Leadership Gift Account. The Red Barn is available for use by recognized student organizations and departments on a first come, first serve basis. The Red Barn can also be used for private events, including wedding receptions.

This office is responsible for registration, drop/add, class schedule information, Undergraduate catalog, academic records, official and unofficial transcripts, enrollment certifications and degree verifications, recording of grades, visiting student letters, and diplomas.

When a student drops below a full-time course load, his/her eligibility for financial aid or participation in athletics may be jeopardized. Health insurance may also be affected. Change of address may be done via ULINK or in person. Name changes require appropriate documentation (updated social security card, Visa, etc.), a photo ID and signature authorizing the name change.

Grades and class information are available via the student’s ULINK account.

Official transcripts may be obtained from the Registrar's Office (31 Houchens Building) upon written request. Students may submit their requests over the web via ULINK. A fee is charged for this service. Upon graduation, a student is eligible to receive one free official transcript. Unofficial transcripts can be viewed via ULink.

Residency Determination for Admission and Tuition Purposes

KRS164.020(8) requires the Kentucky Council on Postsecondary Education to determine tuition and approve the minimum qualifications for admission to a state supported postsecondary education institution and authorizes the Council to set different tuition amounts for residents of Kentucky and for nonresidents. The administrative regulation, 13 KAR 2:045, establishes the procedure and guidelines for determining the residency status of a student who is seeking admission to, and who is enrolled at, a state-supported postsecondary education institution. Students who wish to seek a change in their initial residency determination may file an appeal for review of residency status with the Registrar’s Office. An application for review must include completed affidavit and verifiable documentation. Applications for review will be considered in accordance with the Kentucky administrative regulation 13 KAR 2:045. The appeal must be submitted according to the published deadlines. The affidavit, state regulation, university policy, deadlines, and instructions may be found and printed from the residency web site or may be obtained from all Offices of Admission, the Registrar’s Office (Houchens 31), and on the first floor lobby of the Houchens Building outside of the Admissions Office.

Sexual Harassment Policy

The University of Louisville strives to maintain the campus free of all forms of illegal discrimination as a place of work and study for faculty, staff, and students.

Sexual harassment is unacceptable and unlawful conduct and will not be tolerated in the workplace and the educational environment.

Unwelcome sexual advances, requests for sexual favors, and other verbal or physical conduct of a sexual nature constitute sexual harassment when (1) submission to such conduct is made either explicitly or implicitly a term or condition of an individual's employment, or participation in a university-sponsored education program or activity; (2) submission to or rejection of such conduct by an individual is used as the basis for employment or academic decisions affecting such an individual; or (3) such conduct has the purpose or effect of unreasonably interfering with an individual's employment or academic performance or creating an intimidating, hostile, or offensive working or educational environment.

Faculty, staff, students, and administrators must adhere to this anti-harassment policy. The Provost, Vice Presidents, Deans, Directors, and heads of departments, divisions, and offices are specifically responsible within their particular organizations for publicizing, implementing, and enforcing this policy.

Discrimination in any University employment or academic decision against persons who seek redress under the procedures outlined below is prohibited.

Disciplinary Action
If an individual is shown to have violated the sexual harassment policy, the individual will be subject, depending upon the seriousness of the violation, to disciplinary action up to and including termination of employment or expulsion from the University.

The Provost, Vice Presidents, Deans, Directors, and heads of departments, divisions, and offices are required to enforce this policy. Failure to do so constitutes a violation subject to separate disciplinary action.

The purpose of the Student Activities Board (SAB) is to provide social, multicultural, recreational, and educational activities which are sensitive to and serve the needs of the entire campus and surrounding community, with an emphasis on the student body. Such activities include the Floyd Theater movies, comedy shows, daytime activities, concerts, and homecoming festivities. Any student can become involved with the Student Activities Board, for its membership is open to all students of the University of Louisville. The Student Activities Board is always looking for new volunteers. It provides an excellent chance to become involved in campus life and a chance to meet your fellow students and administrators. This office disburses over 120 million dollars in aid annually to U of L students from a variety of financial aid programs. These programs include grants, scholarships, part-time employment in the form of Federal Work-Study, and loans.

On ULINK students may view items they need to complete from their To-Do-List and view and adjust their financial aid. Students should frequently check their university email for important financial aid announcements regarding their eligibility.

In our office, students may use our designated student computer terminals to file the FAFSA online, complete financial aid forms, and search for scholarships. Students may also come to our office for counseling, which is available on a walk-in basis or by appointment.

Students should utilize our Call Center (852-5511) for general information and questions regarding their financial aid status and awards. If needed, students may then be referred to a counselor for specialized assistance on the phone.

This office serves as a national, regional, state, and University testing agency. Campus testing includes: placement exams in English, Math, Reading & Latin); and test-out exams (CLEP-College Level Examination Program). University Bookstores

For your convenience the University of Louisville has bookstores located on both the Belknap Campus and the Health Sciences Campus (HSC).

The bookstores offer New and Used textbooks for sale and also offer Rental and E-Textbooks on select titles. School supplies, greeting cards, convenience items, general reading and reference books, study aids, exam materials such as Blue Books and Scantron Sheets, backpacks, school spirit gifts, and U of L clothing and accessories are also available. The HSC bookstore also carries a selection of medical equipment such as Stethoscopes and Scrubs.

Textbooks may be purchased in store or online via the bookstore web site or directly from your schedule in U-Link. Online orders can be picked up at the bookstore or be shipped to your home or office via UPS for an additional charge. Save time by having us process your book order for you! Rental textbooks are yours to use for the full term, just don’t forget to return them undamaged by the last day of finals in order to avoid any replacement fees.

Textbooks may be returned within the first week of class for a full refund. The return must be accompanied by the original sales receipt and the books must remain in their original condition. With a receipt and a copy of your drop slip, we will process refunds for dropped class books for 30 from the first day of classes. All other items, excluding electronics, can be returned within 30 days of purchase with a receipt as long as the items are still in new condition.

The bookstores accept Cash, Personal Checks (for the purchase amount and with valid ID), Visa, MasterCard, Discover, American Express and Cardinal Cash. Financial aid is done using your Higher One Card.

The bookstores offer buy back of textbooks year round. Please present the books and your valid/current U of L Student ID and we can check the current buy back values for you. The best time to sell back your books is during finals as we are then preparing for the next semester.

Ekstrom Library is the largest library in the University Libraries system supporting the majority of disciplines on the Belknap campus. The library’s collections include extensive print, online and media resources. It also provides group and individual study spaces, graduate research carrels, computers, copiers, printers, scanners, instructional spaces, interlibrary loan and course reserves. Additionally, students may borrow laptops, iPads, digital cameras, and other equipment. The Research Assistance department of Ekstrom provides in depth research support. Ekstrom partners with the Reach Computer Lab, the Digital Media Suite (creation and editing of images, sound and video), and the University Writing Center, to provide a range of academic support services.

The Tulip Tree Café and after hours study located in the west wing provide a popular gathering spot for students. The Anne Braden Institute for Social Justice, the Delphi Center for the Enhancement of Teaching and Learning, the Muhammad Ali Institute for Peace and Justice and the McConnell Center are all located on the second floor.

Archives and Special Collections (ASC) is made up of four subunits: Digital Initiatives, the Photographic Archives, Rare Books, and the University Archives and Records Center. Together, they house more than 2 million fine art and documentary history photographs, literary and historic manuscripts, university records, oral histories, maps, and rare books for use within the Archives and Special Collections Research Room on the lower level of Ekstrom Library. Their collections document life in the greater Louisville area, from business, cultural and political history to the lives of Louisvillians from various walks of life. In addition, collections such as the Standard Oil of New Jersey photograph collection and William Marshall Bullitt collection of rare mathematics and astronomy document life and culture on a more global scale. As the largest health sciences library in the state, and the oldest west of the Alleghenies, Kornhauser is the primary source of biomedical information in Kentucky. The library is a hardcopy depository for U.S. Supreme Court records and briefs.

The Dwight Anderson Memorial Music Library is the largest academic music library in the state. The circulating collection, containing more than 150,000 volumes, includes more than 50,000 music scores, 35,000 books, and 20,000 sound recordings and videos. Special collections include the Jean Thomas Collection, the Isidore Philipp Archive, an early American sheet music collection, and the Ricasoli Collection of music manuscripts. The library also serves as a repository for materials related to the Grawemeyer Award for Music Composition.

University Theatre, the producing arm of UofL's Theatre Arts Department, welcomes all students to audition for upcoming productions or volunteer to assist with scenery, costumes, lighting, and sound. Leading Change

The mission of the Women’s Center is to offer support and resources to empower women with the goal of promoting an inclusive and equitable campus community and to develop engaged and compassionate leaders.

Our vision is that the Women’s Center will be a safe and inclusive place of connectedness, empowerment and support for our growing multidimensional society.

The Center offers:

  • Students Groups ~ Women 4 Women Student Board (W4W), American Association of University Women (AAUW) at UofL and Student Parent’s Association (SPA)
  • Women’s Center Major Empowerment Programs ~ College Women’s Leadership Conference (CWLC), Human Trafficking Awareness Conference (HTAC), Empowerment Luncheon, Kentucky Women’s Book Festival
  • Advocacy ~ Women’s Equality Day, Equal Pay Day
  • Women veteran program support and information
  • Global leadership and cultural trips ~ Peru, Morocco, Spain & more…
  • Sponsorships to national conferences
