Leave and UGA Request Procedure

General Policy

University policy establishes the kinds of paid and unpaid leave that are available to staff and the terms and conditions that must be met to qualify for leave. The policy conditions are described in detail on the Human Resources web site for each of the following kinds of leave:

 

UGA Leave Request Procedure

UGA staff may apply for appropriate leave under the University policies cited above through the following procedures.

All staff members seeking to use leave time must file an Request for Leave form, which requires a specific statement of the date the leave begins and of the anticipated date of return.

The electronic request must be submitted to the supervisor in advance of the leave time requested. The supervisor will ordinarily approve a timely request when the leave will not impair the overall work of the division. In the case of unexpected leave, the form should be submitted before the close of the business day upon return to work. Supervisors are to respond to the electronic request by replying to the employee approving (or denying) the request and copying the UGS Pay service account. The UGA business office will keep a record of the leave requests; however, it is the responsibility of the supervisor to track leave submissions in accordance with approved timesheets. All staff members are responsible for making personal file copies of their leave requests.

The day before a university holiday is a full work day unless otherwise designated by the president or provost. Classified staff electing to work on a holiday eve must take leave time, with the approval of their supervisor, if they decide not to work the full day. P&A staff electing to work on holiday eves will be expected to work the full day or to charge time taken off on such days against their leave accruals.
