Fall 2008 Funding Application

PURPOSE AND GUIDELINES

Club Programming monies are intended to afford recognized student organizations the opportunity to contribute to the quality of campus life by sponsoring special events and programs that may not be possible without this financial assistance. All Club Programming funding is considered a one-time allocation for a single and limited purpose. This initiative is an opportunity for organizations to receive funding for the Fall 2008 semester only. The requesting organization must be a Recognized Student Organization (RSO) in good standing. The group requesting funding can be representing more than one RSO as long as all are in good standing. The Dean of Students and the SGA president each will appoint four individuals to serve on the Club Programming Committee (CPC). Proposal requests should demonstrate how funding the initiative would inspire a vibrant campus life and an engaged student body. Every request received will be reviewed by the CPC on a case by case basis.

 

The Club Programming Committee does not guarantee funding. When making its decision to allocate funding, the committee will consider the following outcomes:

  • How would this program enhance campus life and engage the student body?

  • Does the program create opportunities for students to develop relationships with other students, faculty, staff or administrators?

  • How reasonable are the program expenses? (Is the benefit of the program derived from the program worth the cost?)

  • Does the request reflect adequate planning?

Additional outcomes that will be considered include but are not limited to the following:

  • The program celebrates or continues campus traditions

  • The program includes collaboration between organizations

  • The program appeals to a wide range of the student population

  • Is the program important enough to consider if only a few students benefit

  • The program includes creative new initiatives

  • The demonstrated success of the organization’s previous programming attempts.

  • Does the program duplicate another organization’s program?

  • Does the program meet an unsatisfied need?

  • Is the activity within the scope of the capability of the sponsor as demonstrated by its record of past performance?

  • What will students learn from this experience?

 

NOTE: A proposal does not have to achieve all the outcomes listed above

 

The staff of the Student Activities Office (SAC, W310 or 852-6691) is available to help organizations plan events. If funds for your event are received from the CPC, please check with Sharon Mudd (852-0240) to insure the event complies with the University Events Policy.

The following will not be funded by CPC:

  • Events not open to the entire University community

  • Programs in violation of Federal, State, or Local laws

  • Programs that violate any established University rules or regulations

  • Events designed to primarily advocate the election or defeat of any candidate for public office

  • Student travel (may fund travel for invited performers, speakers, etc)

  • Purchasing Alcohol

  • National or regional organizational dues or subscriptions

  • Liability insurance for clubs and organizations, including sports clubs

  • Purchase of equipment including sports equipment, uniforms, shirts, construction equipment and/or supplies, conference supplies, office supplies, or library materials

  • Equipment purchases for the organization, funds for rental of equipment can be requested. Equipment request that would enhance the event can be submitted; if approved, the property would be purchased by Student Activities and be available for all student organizations

  • Payments made to a member or members of a campus organization for services rendered to that organization

  • Donations including, but not limited to, cash awards and charitable contributions

  • Payments to invest or provide capital for any business or commercial enterprise intended to generate profit

  • Telephone charges

  • Budget deficits incurred by an organization

  • Programs inconsistent with the groups organizational purpose

  • Requests for cash to purchase event needs. All transactions must be completed through the Unit Business Manager in the Dean of Students Office (Robin Sutherland, SAC W301) via university credit cards, contracts, or purchase orders.

Please provide a detailed explanation of your event including how this event will enhance campus life, engage the student body,
and further the purpose of your organization. Also include a copy of your total event budget (i.e.: performer, printing, advertising,
postage, food, supplies, etc.) Organizations will not receive funding if they do not submit a budget.

Applications are DUE BY by 3:00pm on April 21, 2008

I understand that if the amount spent should exceed the amount approved in any area, the sponsoring
organization will be responsible for the difference. The Club Programming Committee may request that
an organizational representative attend a CPC meeting to provide additional clarification.
The applicant will be contacted regarding the date and time of the Club Programming Committee
meeting if additional information is needed.
