Please read carefully to ensure that your information is submitted correctly
and forwarded to the appropriate area for publication.

 

 

 We utilize various methods to communicate information about University programs and services to students.

 

  1. Student News and Events Weekly E-mail: Generally a good place to communicate university news, announcements, programs, leadership opportunities and services available for students.  Job postings are not accepted for the weekly email.

      • Submissions must be received bythursdayatnoon to appear on the following week's email.

      • The Student News and Events email is sent weekly to all students and is scheduled to arrive on Sunday afternoon. Faculty and Staff do not receive this e-mail.
      • Our goal is to provide fresh new information to students each week to maintain interest and readership. With this in mind, announcements cannot run two consecutive weeks. Announcements may only be repeated TWO WEEKS after the previous announcement. There is a maximum of three runs for an announcement.
      • Please review the General Posting Guidelines that follow for additional information about submissions and postings.


  2. Student News Feed: This information appears as a news feed on various University web pages. Generally a good place to communicate university news, announcements, programs, leadership opportunities  and services available for students.This is also a good place to post On-Campus job opportunities and requests for research participants.
        • Submission should be received at least three business days in advance of the beginning post time.
        • Submissions are posted for a ONE WEEK period. Announcements with specific dates that are requested to start more than a week before the event date will be started at the discretion of the person posting the announcement in order to maximize exposure for as many submissions as possible.
        • Generally 5-7 events are displayed on an RSS feed. Events remain posted on the site for a week but may not be visible in the RSS feed. Most RSS Feeds have a "see more " link to view additional news items.
        • Our goal is to provide fresh new information to students each week to maintain interest and readership. With this in mind, announcements may be repeated only after TWO WEEKS have passed from the previous announcement. There is a maximum of three runs for an announcement.

  1. Student Event Calendar: This information is posted into an on line student events calendar and sent to various University websites as an RSS feed. This is a great place to post all university related events.
      • Postings are for Student Events and Programs
      • Submission should be received at least three business days in advance of the beginning post time.
      • Please review the General Posting Guidelines that follow for additional information about submissions and postings.


  2. Student Activities Center Digital Signage System: TV monitors display university wide news, activities and upcoming events.
      • No text submissions are accepted for this medium - a display ready copy must be attached to this submission form. Example of a acceptable display ready copy includes:  Power Point slide or pdf file.  The variety of file formats as well as various compatibility issues do not permit us to guarantee successful animation of submissions.
      • Submissions should be received at least FIVE business days in advance of the beginning post time.
      • Submissions are posted for a ONE WEEK period. Announcements with specific dates that are requested to start more than a week before the event date will be started at the discretion of the person posting the announcement..
      • Our goal is to provide fresh new information to students and maintain interest and readership. With this in mind, announcements may be repeated only after TWO WEEKS have passed from the previous announcement. There is a maximum of three runs for an announcement.

General Posting Guidelines

 

  1. Submissions should relate to official university business or to university-sponsored activities for students.
  2. Only events and activities sponsored by the University of Louisville - its departments, schools, centers, organizations, and recognized student organizations will be accepted. Submitted events must be open to the entire university community. No commercial promotions or events will be accepted.
  3. The following information will generally NOT be accepted for submission.
    • Business or Commercial Advertisements
    • Messages directed at a limited audience
    • Personal Notices or Information
    • Individual Lost and Found Information
    • Events and Activities not sponsored by University organizations or departments
  4. Announcements should be submitted using the on-line announcement submission form - located at the bottom of this page. The submission form should be completed in its entirety. Incomplete submission forms will not be posted, nor will the submitter be notified.
  5. Announcement text will be “cut and pasted” directly from the submission forms. Digital Siganage submissions will be posted as submitted.The submitter is responsible for all proofreading.
  6. Submission text for weekly email and student news feed is limited to 100 words. Announcements that exceeds 100 words will be edited without notification.
  7. Submitting an announcement does not guarantee inclusion in weekly email or other on-line postings. Submitters will usually be notified by email if their submission is denied. This email is sent out weekly to the university email account of students registered prior to the beginning of each semester. There is no assurance that all students will receive or read the information sent.
  8. The Student Government Association and/or the Office of Student Affairs reserves the right to refuse, edit, or withdraw announcements at their discretion including, but not limited to, announcements for non university events, events that are exclusionary and/or announcements that includes inappropriate language, commercial promotions, or promote events contrary to the mission, policies or procedures of the University of Louisville.

IMPORTANT INFORMATION - SGA EMAIL DATES
All items submitted each week by noon Thursday will appear in the email scheduled to arrive in student mailboxes 3 days later on Sunday afternoon. Items submitted AFTER noon on Thursday will appear in the following Sunday email - ten days later.
Please provide additional information that will help us post your information correctly - i.e. event or news item takes place over multiple days, special instructions etc.
Attach your display ready copy to this submission form. This copy is required for all postings to the SAC TV system. Please review the digital signage submission criteria listed above before attaching your file.


You will see a Thank You screen and a copy of what you have submitted if the form was completed correctly.

If you do not see a Thank You screen, review your form, more than likely there was a required item on the form that was not completed.

If you do not receive a copy of the completed form as an email, please resubmit your announcement.

A copy of the completed form will be sent to the contact email address provided in the form.
