Advising Guidelines

The Family Education Rights and Privacy Act of 1974 (sometimes referred to as the Buckley Amendment, but more often by its acronym, FERPA) affords students certain rights concerning their education records. U ofL students have the right 1) to inspect and review their education records; 2) to seek to have their records amended; and 3) to have some control over the disclosure of information from their records. The University is firmly committed to full compliance with these requirements. Definitions Of Records


Student Records, in paper or computer format, include, but are not limited to:

  • The University of Louisville transcript
  • The Student Transcript System Report
  • All test score data required for student placement
  • Personal Data
  • Class schedules
  • Admissions Folder
  • Grade Change Form
  • Evaluation of Transfer of Credit Form

Directory Information includes the following items, not generally considered harmful or an invasion of privacy if disclosed, about UofL students:

    The student's name, postal addresses, e-mail address, telephone number, date (month and day only) and place of birth, major fields of study, classification (freshman, sophomore, etc.), enrollment status (full-time or part-time), enrollment unit (A&S, Medicine, Law, Music, etc.), residency status, participation in officially recognized activities and sports, weight and height of athletic team members, dates of attendance, degrees and awards received, and most recent previous educational institution attended.

 

Guidelines


In order that the privacy of students' records be protected, these guidelines will apply to all advisors:

    *The advisor will have access to students' records/personal data of students for advising purposes only.

    *The advisor will not discuss the records/personal data of students with persons outside the advising field.

    *The advisor will not use his or her access of records/personal data of students to gain information about students for non-advising purposes.

    *The advisor will not allow his or her access of records/personal data of students to be used by University employees who are not hired in the capacity of advisor or designated as Support Personnel for Academic Advising.

    *As an advisor, complete confidentiality should be kept in the viewing of student records such as transcripts, the Student Transcript System Reports and other personal data.

    *Student Records information may be released to a third party only with expressed written consent of the individual student.

    *Directory information, only if published in the University of Louisville Student Directory, may be released to a third party.

    *Students have the right to request withholding publication of directory information. Such requests are handled by the University Archives and Records Center.
