WHAT: This class covers Purchasing, Accounts Payable, and Journal entry documents in the PeopleSoft system. Also covered: Vendor Information and Receiving procedures.

WHEN:  Schedule and Registration

Peoplesoft Troubleshooting & Query

WHO: University of Louisville employees who have a business need to view financial information in the PeopleSoft Financials System.

WHAT: This class covers Peoplesoft error messages and defines ways to troubleshoot system and data problems. It also covers EPM query, which will allow you to retrieve specific information to resolve reconciliation problems and create reports. We well also review certain Financial Reports that will be beneficial in the reconciliation of Programs and Grants.

Accounts Payable and Accounting Operations Training

WHO: University of Louisville employees who have a business need to view financial information in the PeopleSoft Financials System.

WHAT:  This class covers PeopleSoft Financials accounts payable inquiry and Accounting Operations policies, procedures and forms. The class will cover voucher and payment inquiry. It will also cover various forms that are used in Accounting Operations, such as: the Request for Disbursement form, the Travel Voucher, the Petty Cash Requisition form and the W-9 form. Navigation of the Controller's Office Accounting Operations website will also be covered.

Reconciliation Training

WHAT:  This session will cover basic instructions and guidelines in performing reconciliations of Programs and Grants. It will also include a selection of Financial Reports to use and how to read them.

Requisition (Purchasing) Data Entry

WHO: University of Louisville employees who need to enter requisitions into the new University of Louisville requisition system, or those who receive shipments and need to enter these shipments into the PeopleSoft system.

WHAT: Covers basic Requisition Data Entry, Creating Template Orders, Copying a Requisition, Changing and Canceling Requisitions.

Human Resources

Payline Training

WHO: This class is intended for UBMs and others responsible for reporting and entering their unit’s payroll information into PeopleSoft.

WHAT: This class covers the processes for entering and updating Payline information for Exception Hourly Employees, Positive Time Employees, and Exception Monthly Employees. Payroll reports are also discussed and demonstrated. A brief introduction to PeopleSoft 8 is included in this class.

WHEN:  Schedule and Registration

SECURITY: Access to the Payline page requires two pieces of security:

  1. A PeopleSoft Human Resources Account is required. If you do not currently have an account, Click Here to request an account.
  2. Security access requires the Human Resource / Recruiting Solutions / University Reports Security Form and Authorized Usage Agreement forms be completed with the appropriate signatures. Completed forms should be faxed to Kim Noltemeyer (852-5048).

UBM View Access

WHO: This class is intended for UBMs and business office staff who have a need to view Position Management, Human Resources Budget information, and Employee Personal Records information using PeopleSoft 8.0.

WHAT: This class is a demonstration class. You will be shown all the major panels available to the unit level business offices regarding Human Resources.

WHEN:  Schedule and Registration

SECURITY: Access to the Human Resources View Access (UBM View Access) areas requires two pieces of security:

Special Hire Process

PeopleSoft Query

Many reports and queries already exist that may be useful to you. The first step in accessing these reports isto contact the person in your department who initially requested your PeopleSoft account. They will be able to request the security you need to run them, if applicable. If you need a query or report that does not currently exist, the contact in your department will request the Central Administrative Offices of Human Resources or Student Administration to create a report or query.

PeopleSoft Query training is available for those who have been identified by their department as needing the ability to run reports.

Student Administration

Student Administration

WHO: This class is for Student Administration employees who are new to their positions, or current employees who would like a basic skills refresher.

WHAT: An overview of the PeopleSoft system, including logon procedures, understanding terminology, use of navigation tools, and data entry. This class prepares you for other functional training classes tailored to your need to enter and retrieve data.

Student Records Training

WHO: This course is intended for academic and faculty advisors, and other student support staff wihin the academic community.

WHAT: This class will prepare you to view course catalog and schedule of classes' information, including enrollment totals, how to update credit hour load limits, how to remove service indicator (flags), how to view and update majors, how to print unofficial transcripts, academic advising reports, and other student records functions.
