Project ORION Communications Plan

The implementation project will be a wide-ranging university effort that requires efficient and accurate information-sharing between the implementation teams and the campus community as a whole.

The following forums and processes will be used to insure widespread communication of the status and upcoming plans during the ORION implementation:

Project Name

All communications concerning the project and its auxiliaries will be identified by the project name ORION and the project logo, which will be unveiled at the project kickoff.

Web Page

The Project ORION Web page at URL http://www.louisville.edu/orion will include these topical heads:

  • Overview
    • Scope, structure, communication plan, and issues resolution documents
    • Comparison of current and new systems for expected benefits of change
    • Implementation timelier
    • Implementation budget
    • Project team and advisory committee roster
  • Teams: Minutes, reports, and issues documents from the implementation teams:
    • Project Management
    • Human Resources
    • Student Administration
    • Systems Integration
    • Technical Infrastructure
  • Campus Community
    • Advisory Committees: Reports from and to the project advisory committees, including minutes of their meetings
    • University Policy and Program Development Advisory Committee documents concerning the project
  • Issues: An accurate, indexed record of policy and procedural issues brought forward during the implementation, together with the procedure for their resolution.

Regular updates will indicate the current status of each project area, upcoming plans and project milestones.

Issues Resolution

As disjunctions emerge between the university's current policy or procedure and the software functions, they will be identified as project "issues" in a database. The university community may review and comment upon any issue through e-mail forms placed on each issue page.

Constituency Reports

In addition to the Web resources and project documentation, the Project Management Team will provide regular oral or written reports to these university constituencies and project sponsors:
Faculty Senate Staff Senate
Student Government Association Provost's Operations Council
University-wide Advisory Committees Deans and Faculties


Special reports or additional information will be provided through the Project Management Team upon request.

University Publications

A periodic newsletter with project updates, technical and function information on ORION, will be circulated to the constituency senates; department chairs, program directors, and support-services managers; members of CARE; unit business administrators; and members of the administration.

Project written communications will follow the style sheet developed for Project ORION and the university's general guidelines for written communications.

Demonstrations

The official kick-off will include demonstration versions of the software, as well as videotapes and slide presentations about the implementation. Kiosks with CD-ROM "explorer" demonstrations will be available in the South Computer User Center for public use at intervals during the implementation.

Project ORION team and advisory members may request LAN access to the software for personal use after the protocols for access and use have been announced.

An interactive tutorial that demonstrates the PeopleSoft system features is available online. It requires a "Director" plug-in, also available at the site.
