Elections for class officers and University of Louisville Medical School Student senators.

During the first few weeks of school the University of Louisville Medical School Student Senate (ULMSSS) will begin organizing elections for your own officers. The second year class Secretary will serve as the first year Secretary until officers are elected, and will be responsible for passing out schedules, test files, and information of import to all. The election of officers is an important task and will play a large role in setting the tone for your career as a medical student. The class leaders will aid the class in navigating its way through the rigors and joys of medical school, from academic affairs to social activities.

The class elections for the first year class are typically held a few weeks after class begins. The Pre-Clinical Vice President of the ULMSSS will announce the dates and deadlines for the elections. Nominations are taken the week prior to the class election. Students will nominate themselves by submitting a form to the Office of Student Affairs. Speeches are held, typically during the lunch break, and are moderated by the ULMSSS Vice-President. The election is open to all students of the class and is done online through the U-Link website. Typically the election runs for several days and the results are tallied and released within a few days of the end of the election.

Here are some general details of the responsibilities of each office:

President
* Serve as a representative of the class to the faculty and administration
* Communicate with faculty, administration and students
* Actively voice class concerns to faculty and administration, and vice versa
* Schedule class officer and class wide meetings
* Attend all necessary meetings and lunches
* Oversee the class officers and delegate responsibility to them as needed
* Work with leaders from other classes and with Senate to ensure continuity of government
* Work to identify and streamline procedures for class benefit
* Seek to improve class involvement on social and academic issues

Vice President
* Serve as a representative of the class to the faculty and administration
* Organize and delegate responsibilities to class committees
* Attend all necessary meetings and lunches
* Assist the President as needed, and serve in that role when the President is unable


Secretary
* Attend class officer meetings and take minutes
* Post meeting minutes to website
* Organize a class-wide directory
* Create and maintain a phone tree for the class for dissemination of critical information
* Form and oversee a committee to edit Gross Notes over the summer
* Assist Pre-Clinical VP of Senate with MUSH revisions
* Put together a class calendar
* Inform class of free lunches as available
* Compose a book recommendations list to turn into bookstore
* Prepare class correspondences (thank you notes, etc.)
* Help other officers as needed

Treasurer
* Maintain accurate ledger of class finances
* Report class financial status at each class officer meeting
* Open/maintain class checking/savings account
* Maintain organized records of financial transactions
* Organize fund raising opportunities
* Obtain and manage class debit card and purchases
* Provide assistance to incoming 1st year class Treasurer

Volunteer Coordinator
* Determine areas of class interest in community service
* Plan community service opportunities (1/month)
* Promote new and pre-existing service opportunities to the class
* Facilitate development of community service leadership roles for interested students
* Research implementation and maintenance of service hours database for Student Affairs
* Initiate and maintain community contacts with various service organizations

KMA/AMA Representative
* Communicate to class on KMA/AMA issues, events, research etc.
* Participate in KMA/AMA conventions
* Assist with KMA/AMA initiatives and projects

Social Chair
* Plan and execute various social functions for all aspects of the class
* Work with Social Chairs of other years to facilitate inter-class activities
* Keep class informed of social events in the community

Technology Liaison
* Report student technology concerns and goals to various faculty committees
* Alert IT personnel of technology issues that may need immediate action
* Collaborate with other technology liaisons in maintenance and design of the Med Student Homepage
* Serve as HSC student representative on University of Louisville student technology committees

PDA Liaison
* Find or Create and disseminate any programs deemed appropriate to the class
* Facilitate interaction between faculty, students, and the HSC PDA initiative
* Provide support and troubleshooting for basic PDA usage
* Provide suggestions and or create new content for the PDA website

Challenge Committee Chair
* Schedule block exam viewing for post exam review
* Collect, review and submit challenges to the appropriate professors
* Organize the challenge committee – including course reps and others as needed
* Inform the class of accepted challenges and other changes to the exams

Course Representatives
* Are by default sitting members of the Challenge Committee
* Handle course specific issues and serve as a liaison between the class and the professors
* Organize quiz challenges
* Attend Course Director's meetings and serve as a voice for the students
* Urge contact with course reps as first avenue for questions and concerns with courses



ULMSSS (University of Louisville Medical School Student Senate) Elections
ULMSSS elections are open to all registered medical students and typically take place at the end of March or beginning of April. The descriptions below are taken from the ULMSSS Constitution as of the April 19, 2005 Amendments. For current descriptions, check the Constitution.

1.President:
The ULMSSS president is the primary representative for the medical school students to the Administration, Alumni, Faculty, Staff, and Belknap Student Government.

Responsibilities include:
* Preside over all meetings of the ULMSSS and shall be the Executive Officer of the ULMSSS.
* Administer the policies and procedures of the ULMSSS as determined by that body.
* Be an ex-officio member of all ULMSSS committees.
* Sit on the Executive Council of U of L Student Government Association, the “Big 3 Committee.”
* Attend Dean meetings.
* Serve on the Council of Presidents
* Assist in the coordination of student activities and services.
* Prepare a bi-monthly report detailing the ULMSSS's activities for the month.
* Coordinate and approve all correspondence for the ULMSSS.
* Facilitate conversation between the classes and the administration.
* Maintain effective communication between the ULMSSS and Medical School Administration and Faculty.
* Supervise the expenditure of the ULMSSS budget and compose the annual budget.
* Assist in coordination of social activities and services for the student body.
* Assist the cabinet members in choosing the student from the following class to fill their position.
* Serve in junior year as dvisory role to ULMSSS as an honorary member of the Executive Council
* Serve in senior year as the student representative to the Medical Council.

2.Pre-Clinical Vice President:
The Pre-Clinical Vice President aids the President in representing the interests of the Medical School Student Senate. The primary role of the Pre-Clinical Vice President is to represent the needs of the pre-clinical students to the Medical School Student Senate and the Student Senate.

Responsibilities include (the exact responsibilities may vary depending on the President):
* Revise and update the MUSH orientation handbook to be given to the first years.
* Conduct the election of the Executive Officers, Senators and Class Officers.
* Serve as project chairperson of committees as appointed by the President.
* Assume the Presidency when the President is unable or unwilling to serve.
* Coordinate the deans committee members.
* Facilitate conversation between the classes and the administration.
* Assist in coordination of social activities and services for the student body.
* Assist cabinet members in choosing student from the following class to fill their positions.
* Attend Dean's meetings.

3.Clinical Vice President:
The Clinical Vice President aids the President in representing the interests of the Medical School Student Senate. The primary role of the Clinical Vice President is to represent the needs of the clinical students (3rd & 4th year) to the Medical School Student Senate and the Student Senate. The ULMSSS Clinical Vice President is compensated with a minimal monetary supplement..

Responsibilities include (the exact responsibilities may vary depending on the President):
* Aids the President in representing the interests of the Medical Student Association.
* Represent the needs of 3rd and 4th year students to the Student Senate.
* Serve on the student senate and appropriate committees as assigned by the president.
* Serve as liaison between Office of Alumni Affairs and the student body.
* Serve on the Medical School Alumni Board.
* Attend monthly Dean's Luncheon meetings.
* Facilitate conversation between the classes and the administration.
* Plan and execute the spring cadaver ball.
* Coordinate the speaker committee in charge of selecting the Fitzbutler Prize Award recipient.
* Assume Presidency if President and Pre-Clinical Vice President are unable or unwilling to serve.
* Assist in coordination of social activities and services for the student body.
