Student Assistant Departmental Job Descriptions

Archives & Special Collections

Student assistants might do filing, shelving, word processing, scanning, and/or run errands, answer telephones, or help on special projects. Some lifting is required. Basic PC experience is desirable. Student assistants work an average of 10-20 hours per week. Students may work 9am - 5pm, Monday - Friday; evening and weekend hours are not available.

Art Library

In the Art Library student assistants process gifts, type book orders, shelve and shift books, use the online catalog to search for books, and answer simple reference questions using library resources in print and online. Additional duties may include maintaining the clipping files and the Courier-Journal art column. A background in art and experience in using libraries and computers is preferred. Student assistants work an average of 12-13 hours per week including some evenings and weekend hours.

Ekstrom Library

Administration Office Monday - Friday 8 AM - 5 PM

Student assistants provide administrative support for staff members in the University Libraries Office of the Dean including: answering telephones, making photocopies, sorting mail, and providing front desk coverage during lunch. Typing and basic computer skills are necessary, and students must be mindful of the dress code (no shorts). Student assistants work an average of 15 - 20 hours per week mainly between 11 AM - 3 PM.


In the Circulation Department student assistants work at a public service desk helping patrons charge and return books and answer general questions about the library and campus. Student assistants also process mail, search for books in the library, help process interlibrary loan materials, scan articles, and may work with the robotic retrieval system. Excellent communication skills, an eye for detail, and teamwork skills are necessary. Student assistants work a flexible schedule of about 15 hours per week.

Collection Development Monday-Friday 8 AM - 5 PM

In the Collection Development department, students process invoices, photocopy documents, do some filing, create and edit spreadsheets, occasionally unpack boxes and answer the telephone. Dependability, attention to detail, legible handwriting, and good communication skills are necessary. Student assistants work a flexible schedule of about 15 hours per week.

Copyright Permission Services - 8 AM - 5 PM

Student assistants provide office support for the Coordinator of Copyright Permission Services in University Libraries. This support would include: answering telephones, running campus errands, making photocopies, filing, and providing desk coverage as needed. Typing, close attention to detail, basic computer skills, and accurate record keeping are necessary. Students should be aware of and adhere to University Libraries dress code. The student assistant will work an average of 15 - 20 hours per week between 8 AM - 5 PM.

Current Periodical & Microforms

Current Periodicals department student assistance help patrons at the service desk with general questions, process daily mail, re-shelve items that have been used, and explain usage of microform machines. Familiarity with the Windows environment and Internet as well as knowledge of Minerva is a plus. Student assistants work an average of 10 - 15 hours per week in this department.

Distance Learning

In the Distance Learning department students search for items not available in full-text from online databases, copy printed materials available in Ekstrom Library, request items from InterLibrary Loan and deliver items to faculty and students via U.S. postal services and electronic mail. Internet and electronic mail experience is required. Students work a flexible schedule of about 20 hours per week, which may include some evenings and weekends.

Learning Commons Computer Lab

The Learning Commons Computer Lab students assist patrons in troubleshooting basic to intermediate technology issues and general information questions. A basic understanding of Microsoft Office, Groupwise, basic networking issues and customer service is necessary. Good communication skills, a willingness to solve problems and lend other students a hand is a must. CIS students are encouraged to apply.

Media Resources

Students in Media Resources assist patrons with charging and discharging video materials, laptop computers for in-house use, filing returned materials and answering general information questions from patrons over the phone and in person at our service desk. Capacities to work in a fast paced environment, the ability to multi-task, good customer service and communication skills are necessary. Students work a very flexible 10-20 hours a week.


The Ekstrom Reference department staffs the reference desk while the library is open. Duties include: assisting people at the reference desk or with computers in the reference area, shelving, and copying. Students need to be flexible, enjoy working with people, and speak English fluently. Students work an average of 14 hours a week.

Shipping and Receiving Monday - Friday 8 AM - 5 PM

The Shipping and Receiving department offers students a wide variety of opportunities within the Ekstrom Library. Student assistants process mail, receive and deliver packages, act as couriers for the various libraries, run errands on and off campus, move furniture, set up for special events, and assist with the recycling program. The ability to do medium to heavy lifting and minor "handyman" skills are helpful. A valid driver's license is preferred. Student assistants work an average of 15 - 20 hours per week.

Stacks Maintenance

Student assistants in Stacks Maintenance ensure the integrity of Ekstrom Library’s book collections by regular shelving, shifting, and a variety of special projects. The schedule is between 10-15 hours per week, on weekdays from 7:30AM to 5:00PM. Occasionally, you will help patrons while working in the stacks, but the job is mostly assigned, independent work -- great for a student who likes to concentrate without a lot of interruptions. You’ll also learn how to navigate through the complicated stacks like a pro. You must be excellent with details and accuracy, able to lift 50 lbs, and push a fully-loaded book truck.

Technical Services Monday-Friday 8 AM - 4 PM

Technical Services students work at one or more of the following activities: data entry, attaching labels to books, stamping books, sorting and delivering books, answering/transferring phone calls. PC skills, attention to detail, and telephone skills are necessary. Student assistants work a flexible schedule of about 10-20 hours per week.

Kornhauser Health Sciences Library

Student Assistants at Kornhauser Health Sciences Library, located on the health sciences campus, work in a variety of Departments within the library. In Public Access Services, tasks are: locate and gather journals, scan and save journal articles, photocopy articles, shelve books and journals, file completed forms, and provide assistance to library patrons at public service desk. In the Administration Department, student assistants serve as receptionist, file documents, provide data entry, and run errands. In Technical Services, work involves filing, processing incoming journals, and data entry. The ability to alphabetize is necessary, as well as familiarity with computers, basic Microsoft software, and ability to use library databases. Student Assistants work an average of 20 hours per week, and the hours can vary anywhere from 7:30 AM to 11:00 PM.

Music Library

Students in the Music Library work in a variety of positions including desk duty, stacks maintenance, listening services, technical services, and special projects. Keyboarding, attention to detail, organizational skills, familiarity with audiovisual equipment, and basic computer software skills are preferred. Students work an average of 10 - 15 hours per week.
