Records Retention Schedules
The Kentucky State Archives and Records Commission approves schedules for the retention and destruction of records created by public colleges and universities in the Commonwealth. Since the University of Louisville abides by these schedules, units should consult the University Model Records Retention Schedules
(from Kentucky Dept. for Libraries and Archives) to determine how long they need to retain any given set of materials.
The University Archivist has approved three exceptions to this state schedule. The following records are retained permanently by the University of Louisville:
- Search records for positions at or above the level of dean (e.g., dean, vice president, provost)
- Records of grievance procedures
- Department of Public Safety incident reports
