Placing Files in Boxes

  1. Fill out a Records Inventory and Transmittal Form. Download the form to be completed in Microsoft Word. (Please review the example to see how the form should be completed.) E-mail the completed document to the University Archivesemail.

  2. Keep the records in the file folders. Remove any records from hanging files and binders and put them in regular file folders.

  3. Place files upright in the boxes in the exact order in which they were maintained as current files. (Reminder: records must be transferred in acid-free storage boxes. The boxes can be obtained from the U of L stockroom, item # 7520-0370. This current Stockroom page provides information on pricing and inventory. Please note that neither "Bankers" boxes nor other types of containers may be used.)

  4. Number each container consecutively in the upper right hand corner on the front of the box.
