How to use the Core D online scheduling Calendar
OUTLOOK-BASED SIGN UP FOR MICROSCOPES AND ANALYSIS STATIONS
1. Only users that have been properly trained on a system will be given access to the Microscopy Outlook Calendars. If you need training and/or access to the Outlook Calendars, please contact Jason Beare at Jason.Beare@louisville.edu or call 502-852-0327. Indicate in the email which system(s) you will be using (Inverted, Confocal, Live Imager, Live Imager Analysis Station, Nikon Elements Analysis Station, and/or 5th Floor Cryostat).
2. Trained users will receive an email with permission to access the Outlook Calendars of choice. At the top of the message, click “Open This Calendar” (or “Add This Calendar” if you are using the Outlook Web App). This calendar will now always be listed in your Outlook Calendars.
3. Check for an available time slot for the instrument on the day you wish to make a reservation (be sure to have the correct date and the correct instrument calendar). The old rule for maximum daily time still applies: only sign up for one 2-hour block each day. If there are still available time blocks when your time runs out, you may sign up for one additional time block that day (maximum of 4 hours daily). This rule does not apply to the Cryostat…take as much time as you need , but please be courteous to other users who might need it too!
4. Click and drag the mouse to highlight the time period you wish to reserve.
5. Right-click on the highlighted area and choose "New Appointment" from the window that comes up.
6. In the "Subject" line of the appointment window, type your FULL NAME AND LABORATORY AFFILIATION (example: Jason Beare / Whittemore Lab).
7. In the "Location" line, type in a telephone extension or number where you can be reached.
8. Click "Save and Close" at the top of the window.
9. Check on the calendar view to verify your reservation.
10. To change or delete a reservation (you can only change or delete reservations that you made), highlight the reservation on the calendar view, then right-click and choose either "Open" to make changes or "Delete" to delete the reservation. Always check the calendar view to verify your changes or deletion. Please be courteous! If you have signed up for a time slot and can no longer use it, delete your reservation.
NOTE: Any reservation that violates sign up limits may be deleted by the Microscopy and Imaging Core staff.
