Federal Work-Study Program

Congratulations! on your eligibility to participate in the Federal Work-Study Program. The following explains how the program will be administered during the fall and spring semesters.

You will need to sign up for payroll in order to be paid your Federal Work Study money. Click on the New Hire Package link.  Print this package and complete all the forms as directed.  Bring the completed forms to the office of April Hebner, Oppenheimer Hall, Room 107 along with a photo copy of your picture ID (drivers license or passport) and a photo copy of your social security card.

If you do not have the proper identification, you will need to obtain it before you can participate in the Federal Work-Study program.

You will also need to bring a voided, blank check for submitting with the direct deposit form (found in your New Hire Package).

Pay Rate:

You will be paid for hours worked at your practicum at a rate of $8.00/hour until the maximum amount awarded to you is spent. You must submit a bi-weekly timesheet (every two weeks) in order to be paid.

Click here for Time sheets link.  Print out each time sheet, the pay periods and dates are listed for each.  Record your start and stop work times, including breaks taken, for each day you are on your practicum job.

Other Things To Note:

  • Time sheets are due by 12:00 PM on the day specified on each timesheet and on the provided Payroll Calendar. Click here for Payroll Calendar.You may slide your time sheet under the door of Oppenheimer 107, or you may scan & email it, OR fax it to 502-852-0422. If you choose to fax, send an email to April Hebner asking if it was received.  If you work later than 12:00 PM on Thursdays, you will need to guesstimate your hours and then notify April Hebner of any corrections to those hours no later than the following Monday morning before 10:00 PM.
  • You MUST take a 30-minute break for anything over 4.0 hours worked in a single day. You must also indicate this on your time sheet. This is a Federal Employment Law and must be followed.

  • Personally sign the Student Employee line and ask your practicum supervisor to verify your hours by signing the Supervisor Signature line. If your supervisor is not available to sign your timesheet on the day it is due, please submit without their signature for reporting purposes, but make sure the original for the file has both required signatures.

TIME SHEETS SUBMITTED AFTER 12:00 P.M. are considered late and may not be paid. Late timesheets can also result in having your award in jeopardy. You could loose your award.  ABSOLUTELY NO EXCEPTIONS CAN BE MADE TO THIS RULE.

Paychecks

Your first paycheck will be available for pick up in Human Resources,  after 12:00 p.m. on the Friday, September 2, 2011. After your first check, your direct deposit should be active.

Your check stub will be available for viewing online. You are responsible for maintaining your user ID (the same as your UofL email account, i.e. avhebn01) and your employee ID (same as your student ID on your UofL ID card) as you will need this information in order to view/print your pay stub.
