New Hires:


How can I apply for a parking pass?

As soon as you are placed in your first position with UTS and your employee ID number has been assigned, you will be able to obtain a temporary parking pass.  Parking passes can be obtained at the parking offices on either the Belknap or HSC campuses.

When will I get my new email address and how do I access it for the first time?

Within a few days of beginning your first position with University Temporary Services, you will be able to get a university email address.  Step-by-step instructions are available for setting it up for the first time.

If you need either your Employee ID number or your Job number, call University Temporary Services at 852-6889 and someone will be able to assist you.

Assignments:


What do I do if I am sick or will be unable to work?

The importance of attendance and punctuality cannot be overemphasized. Every employee is expected to be at work when scheduled and to arrive on time. On those rare occasions when you must be absent or tardy due to unavoidable circumstances, please call the office to which you are assigned, as well as the UTS office at 852-6889, as soon as possible. This helps us to place additional help in the office, if needed. In the event of snow or other inclement weather conditions, tune to WUOL 90.5 FM, or log on to the University home page (www.louisville.edu) for official University announcements. Local TV stations also carry updates. Cancellation of classes does not always mean offices and clinics are closed.

Remember, your attendance, punctuality, dependability and attitude reflect not only upon you, but the other employees of Temporary Services as well. The manner in which you conduct yourself is a measure of the credibility of our service to the university.

What is considered appropriate office attire?

Employees are expected to dress appropriately for an office setting at the university.  Casual sportswear, including blue jeans, is not considered appropriate for work in most locations. We will try to let you know the expected dress code when placing you on assignments.  When in doubt always err toward the side of professionalism.  Each employee is expected to maintain a high level of cleanliness and personal hygiene. To convey a professional image is of the utmost importance as you seek full-time employment with the university.

What should I do when I learn my job is ending?

As soon as you know the final day of your assignment, notify Temporary Services at 852-6889 so we can update your availability for future assignments.  You will also need to make sure that your final timesheet is completed and signed before you leave on your last day.

What do I do if I’ve been hired into a regular position, or I otherwise will be leaving UTS?

Employees leaving UTS, including those who are being hired into a regular position within the university, are required to supply Temporary Services with reasonable notice before leaving their assignments. We expect a minimum of three days notice. This notice allows us to find a replacement to complete the assignment.

Payroll/Timesheets


Where do I find the timesheet?

University Temporary Services has a different timesheet than the rest of the university, so make sure you are using the correct one.  You can find it online on the Temporary Services website under the current temp section.

When are timesheets due? What if I can't get the fax to work?

Timesheets are due every other Wednesday at 5:00 pm.  It is a mandatory condition of employment for each employee to submit detailed, accurate and punctual time sheets. Late time sheets (after 10:30am THURSDAY morning) will not be processed until the following pay period.

If you are having trouble faxing your timesheet, it may also be delivered to the UTS office, located in the Human Resources building at the corner of Arthur & Brandeis Streets. A drop box is located at the entrance to the offices in the event you must deliver your time sheet after our office closes at 5:00 PM.

What do I do if I worked in more than one assignment during the same pay period?

You must fill out a separate timesheet for each assignment, with supervisor signatures for each.

When do I get my first paycheck?

Since it often takes at least one pay period before your direct deposit begins, your first paycheck will likely be a paper check you will have to pick up in Human Resources.  Follow the instructions under the next question, 'How do I view my paystub online?' to determine whether it is a check or direct deposit.

If it is a check, employees will have to pick up their check in Human Resources on 1980 Arthur Street between the hours of 8:00 a.m. to 5:00 p.m. on pay day. Checks not picked up between those hours will be available on subsequent business days between the hours of 8:00 a.m. to 5:00 p.m.

How do I view my paystub online?

  • Go to ULink
  • Type in your user name and password
  • Select the faculty/staff services tab
  • Go to the personal information section
  • Select paycheck

Each pay period, make sure that the net pay distribution says "Direct Deposit." If it says "Check" you will have to pick up your check at Human Resources.

When will my direct deposit begin?

Usually your direct deposit will begin on your second paycheck.

How do I change my direct deposit?

If you need to change your direct deposit, you must complete a direct deposit form to stop your current direct deposit and also include the information for your new account.  After you have completed the form, attach a voided check and bring it to Human Resources.
