2008 W-2 Calendar

W-2 information for calendar years 2004 through 2007 is continuously available on the university's W-2 website at http://www.w2express.com.  Information for calendar year 2004 will remain available until December 31, 2008.  After January 1, 2009, W-2 information for calendar years 2004 and earlier may be obtained only by directly contacting the payroll office at payroll@louisville.edu.

Employees may "opt-in" to receive their W-2 information electronically.  By consenting to receive your W-2 online you will not receive a paper W-2 from the university.  Your consent will remain in effect until you withdraw it.  Therefore, you will receive all of your W-2s electronically unless you withdraw your consent, which you may do through the website at any time.  If you wish to withdraw your consent for tax year 2008 you must do so before your W-2 is made available online.  The consent window closes January 12, 2009.

Electronic W-2s will be available on January 15, 2009.  For those employees who did not elect to receive their 2008 W-2 information electronically, paper W-2s will be printed between January 16 and 28, 2009.  W-2s will be mailed within 48 hours of print completion.  Employees receiving a paper W-2 will have access to print a duplicate copy after January 30, 2009.

To access W-2 eXpress, employees must enter their employee identification number and a personal identification number (PIN).  On November 10, 2008 everyone's PIN was reset to the default PIN scheme of their birthday in the format of MMDDYYYY.  After this PIN reset, employees must choose another 6-8 digit password the next time the W-2 eXpress system is accessed.  Employees may have their PIN reset to the default PIN scheme at any time by contacting the payroll office.  PIN numbers are generally reset within 24 hours or less.

W-2 eXpress offers many of the same features through the phone that are offered on the web.  Employees may access the interactive voice response (IVR) portion of the service by calling 1-888-818-6021.
