New Graduate Assistant and Fellow HR Onboarding

Welcome to the Cardinal family! If this is your first paid graduate assistantship or fellowship at the University of Louisville, there are two steps available for your onboarding at UofL.  Step 1 is required to get you set up in the payroll system.

Please Note: It is very important that you confirm your exact start date with your department to determine when you must complete these steps.

Returning?

If you are a returning graduate assistant or fellow, these onboarding steps will not apply to you.  Please note your direct deposit will resume to the account on file, unless you submit a change.  If you wish to make a change, please fill out the direct deposit form (PDF) and return to Payroll by your start date.

New Graduate Assistant & Fellow Onboarding Timeline

Use this timeline as a guide through your onboarding process.

 

Step 1: Complete I-9 and New Hire Packet at HR (Required)

You must meet with HR in person to complete the second part of your I-9 form and turn in your completed New Hire PacketThis step is required to set you up in payroll.

When:

During the scheduled office hour window you choose below, before or no later than 3 days after your start date.

Dates and Registration:

HR has scheduled office hour windows for new graduate assistants and fellows starting the end of June and continuing through August.  For dates/times and to register for a window of time, please visit our New Graduate Assistant and Fellow HR Onboarding Registration page. You can arrive anytime during the window of time you select.

Before You Come to HR:
    • Complete the first part of the I-9 online ON OR BEFORE your start date. Go to http://www.newi9.com.  The University of Louisville employer code to access the site is 11443. If you are an international student and do not have a social security card, please skip this. If you have questions regarding completion, please contact Human Resources at (502) 852-6542. After you have completed this, you will complete the second part of the I-9 when you meet with HR.
    • Complete the New Hire Packet to bring with you to HR.
What to Bring to HR:

☐  Original documents of proof of identification and eligibility to work (to complete the second part of the I-9).  View Acceptable Documents. (Copies cannot be accepted);
☐  Completed New Hire Packet;
☐  Original social security card for payroll purposes;
☐  Voided check for direct deposit;
☐  Foreign nationals working on a visa: passport and employment authorization documentation.

Step 2:  Attend a New Graduate Assistant/Fellow HR Information Session (Optional)

During the hour and a half session, you will receive valuable information about your paycheck, health insurance, campus public safety and parking.  Please note: New Hire Packet submission and I-9s cannot be completed at this session, you will need to schedule a time slot to meet with HR separately as part of Step 1.  See above.

When:

Three sessions will be held in the summer of 2016.  Graduate assistants and fellows can attend any available session, regardless of start date.
