Reclassification of a Filled Position

All departments seeking to change the duties and responsibilities of any currently filled staff position must request a reclassification.  A reclassification should be requested when there are significant changes in job duties.  To recognize additional duties that do not warrant a reclassification, but adds value to the position, an in-range adjustment may be requested per the in-range guidelines.

How To Request a Reclassification

To request a reclassification of a filled position, the following documents must be submitted to Employment Services either via campus mail or dropped off at 1980 Arthur Street.

  1. Completed Job Description Form (JDF) to outline the position.  Please make sure to include detail of all appropriate job duties and responsibilities, the requested level of education and the requested level of experience for the position.  This form must include the signatures of the appropriate supervisor and administrator for the department.
  2. Organizational Chart for the department the filled position is in.

Reclassification Process

During the reclassification, your employment coordinator will conduct a position review with the current candidate and the supervisor.   These separate appointments will take approximately 30 minutes.  These reviews must be conducted in order to ensure the accuracy of the revised duties and responsibilities.

Salary Increase Guidelines

The salary guidelines for promotions and reclassifications are as follows:

  • Recognize that promotions or reclassifications would customarily result in a salary increase equivalent to one-half the percentage differential between salary grades (resulting in an 8-10% increase).
  • Delegate salary authority to department chairs and directors up to the percentage differential between salary grades (up to 18% increase).
  • Provide for HR review and require Dean/VP approval for increases that exceed the percentage differential between salary grades.

Completing the Process

Once the reviews have been completed, the employment coordinator will work with the department Unit Business Manager to determine the best position title and update to the position. During this time, any additional compensation to the candidate's wage or salary will be determined if appropriate.  At that time, the department will need to submit an online PAR to update the position information and a JDC if salary changes will be made.  Once submitted, Employment Services will approve and it will move to Position Management and/or Payroll for completion.

Timeline

A reclassification of a filled position typically takes 30-45 business days to complete within Employment Services, but may take longer due to complexity.  Once the PAR and JDC have been approved, the process moves to Position Management and Payroll and is subject to their timeline schedules.

Reclassification of a Vacant Position

All departments with a vacant position must request a reclassification if they wish to change the title and duties or responsibilities of the current position.

How To Request a Vacant PCN Reclassification

Once your employment coordinator has reviewed the vacant position reclassification request, the department will received an email recommendation for the position classification.  At that time, the department will need to submit an online PAR.  Once submitted, Employment Services will approve and it will move to Position Management for completion.
