T12 Hiring Requirements
The T12 paygroup is no longer an option available to casual temporary employees. The T12 paygroup is now reserved for short-term employees paid on an Exempt/monthly basis. Departments may hire these employees to complete projects and/or services on a lump sum paid basis. Casual temporary employees should be placed in the T26 paygroup and paid on an hourly basis as required by FLSA standards.
All departments preparing to place candidates in the T12 paygroup are required to submit an Agreement Letter to Linda J. Wilson in Payroll in order to request approval for hires. The Agreement Letter must contain the information described below.
Agreement Letter requirements:
Once the letter and appropriate documentation have been received, Linda J. Wilson will approve the T12 hire. T12 packets received without the agreement letter will not be processed and will be returned to the department for completion.
Any and all questions or concerns relating to T12s should be directed to Linda J. Wilson in the Payroll Department.
Agreement Letter requirements:
- Letter must be from the Department to the Employee/Candidate.
- Letter must outline the project and/or services to be completed.
- Letter must indicate a beginning and ending date for the employee to work on said project or service. A new letter will be required to extend the service. This will prevent overpayments.
- Letter must indicate set amounts to be paid as outlined by the project and service and the total amounts to be paid at the end of each month.
- Letter must be signed and dated by the employee/candidate before employment begins.
- Letter must be sent to payroll with the JDC form.
- Any exceptions or unusual arrangements will have to be reviewed and approved by Employment Manager.
