Job Summary
Provide diverse and complex administrative duties in support of two Associate Vice Presidents for Health Affairs in the area of financial, policy and operational issues related to the School of Medicine and Health Sciences Center.
Duties and Responsibilities
Provide administrative support to AVPs in a variety of matters in Health Sciences Center and School of Medicine, compose correspondence and prepare replies; plan, initiate and complete various highly responsible tasks related to administrative and operational issues; respond independently to a variety of incoming requests/issues, prioritize and determine appropriate action to be taken and follow through to completion.
Prioritize and plan complex schedule of meetings and activities for AVPs. Coordinate schedules with that of VP, Deans, Chairs, Hospital Presidents, CEO’s, developers, entrepreneurial organizations, etc.
Manage the activities of the office regarding workflow, assignments and supervision of support staff including hiring and training.
Make travel arrangements for Associate/Assistant VPs.
Provide administrative support for various projects and events dealing with development and entrepreneurial endeavors hosted by administrators who report to AVP.
Conduct special studies, research information, compile data and make recommendations as they pertain to a host of administrative, business and operational issues.
Provide guidance and direction concerning policies and procedures related to travel, purchasing, payroll, etc.
Provide administrative support to Assistant Director of Finance and Unit Business Manager as needed.
Represent Health Sciences Center on various University-wide committees such as RFP for travel agency contract.
Knowledge, Training and Skills
Bachelor's degree in business or a related field.
Experience
Four years of experience. Additional experience may be used on a one-to-one basis to offset the educational requirements.
