JOB TITLE: Executive Secretary
CLASS CODE: 000863  

JOB SUMMARY

Perform a variety of highly responsible secretarial and administrative work under general supervision.

DUTIES AND RESPONSIBILITIES

Take and transcribe dictation or transcribe from dictating equipment subject matter of varying complexity.

Serve as personal assistant to a high-level administrative official by planning, initiating and completing clerical, secretarial and administrative activities.

Develop material for supervisor's use in public speaking engagements.

Attend conferences and is briefed on meetings regarding information and developments in matters concerning the supervisor.

Make arrangements for conferences including space time and location scheduling; inform participants of relevant topics and may provide them with background information.

Assist in coordinating the preparation of operating budgets and examines budget documents to insure compliance with University regulations.

Receive and route telephone calls, answering questions which may involve the interpretation of policies and procedures.

Interview and make preliminary selection of clerical, stenographic and secretarial employees; make assignments; schedule hours of work; provide foe office coverage; and review the work of subordinate employees.

Greet, announce and route visitors.

Perform related duties as assigned.

KNOWLEDGE, TRAINING AND SKILLS

High school diploma and one year of business school or secretarial training.

EXPERIENCE

Four years of related secretarial and/or clerical experience. Typing - 50 wpm. Dictation skills required. An equivalent combination of education, training and/or experience may be substituted for the requirements noted.
