Job Title: Administrative Specialist for Student Services
Class Code: 000533 

Job Summary

Investigate and resolve student problems and complaints, serve as an advocate for students regarding student services, assess program and policies of Student Services and develop recommendations for improvements; develop, plan and coordinate training and development programs, chair the Training and Development committee; work with academic units and administrative units to facilitate and improve communication linkages; serve as affirmative action coordinator for personnel issues and searches; assist in developing plans and reports regarding planning, personnel; and budgets; participate in programs and activities to promote retention, recruiting and enrollment management; serve on unit and university committees and special projects; supervise Secretary II.

Duties and Responsibilities

Investigate and resolve student problems and conflicts; serve as advocate for students regarding Student Services; process deceased student notifications; assess programs and policies of Student Services and develop recommendations for improvements in procedures; investigate and serve on "request for refund" cases and fraudulent records as requested; serve as disciplinary hearing officer as requested.

Chair the Training and Development Committee; plan and coordinate programs and events to improve staff knowledge and morale; coordinate the Outstanding Staff Awards for Student Services; plan and coordinate the new staff orientation program; implement efforts to improve the Houchens Building physical environment including vending and building cleanliness; keep up to date staff directories on ULINFO " Student Information".

Assist in developing plans and reports, responding to inquiries and supporting personnel, budget and planning functions to include: updating "Student Information" on line on PROFS to provide timely/current information to all university constituencies; serve as affirmative action coordinator on all P/A searches and complete needed electronic forms for new hires; chair the Student Services advisory Group, prepare agendas and disseminate notes; assist in developing the unit objectives; Priorities for Action (PFAs), strategic directions document and the annual report; coordinate receipt of management audits, annual performance evaluations and other personnel reports; serve on Student Affairs and other university-wide committees to represent the Assistant Vice President for Student Services.

Participate in programs and activities to promote retention, recruiting and enrollment management: assist in developing recruiting and retention materials as requested; attend events and functions for recruitment and retention efforts; participate in the summer freshmen orientation including program presentation to parents; serve on the Orientation Advisory Council, counselors and Advisors Resource (CARE) group, and the Multicultural Center Advisory Board.

Represent the Assistant Vice President for Student Services as required and perform other duties as assigned - serve on ad hoc committees; participate in the SACs review and outcomes assessment efforts; strategic planning efforts.

Supervise Secretary II - provide supervision for the secretary II and coordinate work with other staff.

Participate in activities and programs which enhance personal and professional development - continue personal and professional development.

Knowledge, Training and Skills

Master's degree in College Student Personnel Education or related field.


Four years of experience in a related field.

An equivalent combination of education, training and/or experience may be substituted for the requirements noted.
