CALENDAR YEAR END TAX PREPARATION FOR INDIVIDUALS
Employee Federal Tax Withholdings
To avoid a tax penalty, individual employees must have sufficient tax withholdings to come within $500 of their projected end-of-year tax obligation.
The Internal Revenue Service recently published the 2012 Form 1040, U.S. Individual Income Tax Return. Form 1040 may be obtained on the IRS website . The accompanying Form 1040 instructions (104 printed pages) is also available on the IRS website. Additional individual tax guide information is available on the payroll website .
Address Requirements for IRS Form W-2, Wages and Tax Statements
W-2 forms for U.S. citizens and resident aliens are mailed to home addresses. W-2 forms for non-resident aliens are mailed to local mailing addresses. Employees should review their current home and mailing address information between now and the end of the calendar year. Addresses may be reviewed and corrected on-line using the following thread: ULink>Faculty and Staff> Personal Information>Personal Info>Home and Mailing Addresses.
Tips to Insure Your Addresses Are Valid
- US Postal Service Official Abbreviations
- Omit all special characters, such as hyphens, periods, etc.
- Include apartment, building, room, lot, etc. numbers in the street address line.
W-2 Format Election—Paper or Electronic
Employee may “opt-in” to receive their W-2 information electronically. By consenting to receive your W-2 online you will not receive a paper W-2 from the university. Consent remains in effect until it is withdrawn. As a consenting employee, you will receive all of your W-2s electronically unless you withdraw your consent, which may be accomplished at any time through the W2Express website. Electronic W-2 information is generally available around January 15. For those employees who do not elect to receive their W-2 information electronically, paper W-2s are usually printed between January 16 and 28. Employees receiving a paper W-2 will have access to print a duplicate copy after January 30.
Proceeding to the w2Express Web Site:

Go to the W-2Express website. On the home page, enter 11443 in the box labeled “Employer Name or Employer Code.”

Enter you seven-digit employee ID in the Employee ID field. Tab or click to the PIN field and enter your PIN (personal identification number). Your PIN is your birth date in the format of MMDDYYYY. (Example: if your birth date is February 29, 1948, your PIN would be 02291948. Click “Continue.”

If you have never used the system, you will be prompted to provide an e-mail address in case you ever need to re-set your PIN. You can either click on “Continue” to provide an e-mail address, or click “Skip”. (Hold the “CTRL” button and click “Skip” if you are using a pop-up blocker) to proceed.
