Microsoft is phasing out the cloud based spam quarantine and recommending the use of the Junk Mail features within the Outlook client. This allows users to manage their spam locally. Junk mail options are settings that filter email identified by the email system as potentially being junk and moving it to your Junk Email folder. IT recommends that you utilize the instructions stored under item #2 to configure rules to move junk mail automatically from your inbox to your Junk Mail folder. It is also recommended that you actively monitor your Junk Email folder. Click #4 below for steps that you can take to prevent some legitimate email from being sent to your Junk Email folder.

4. How do I submit false positive messages to Microsoft?

False positive messages are legitimate email messages that are incorrectly identified as spam and they should continue to be sent to false_positive@messaging.microsoft.com. It’s important to submit samples in a specified format.

  1. Create a new blank message and add the message you wish to save (that is, the false-positive) as an attachment.
  2. Copy and paste the original message subject line into the new message subject line.
  3. IMPORTANT: Leave the body of the new message empty.

Lastly send (false negative) email that is incorrectly not identified as Spam to: abuse@messaging.microsoft.com

5. How do I utilize the Junk Mail "Safe Senders" option to prevent legitimate mail from being sent to my Junk Mail folder in the future?

Follow the directions below. To prevent some legitimate email from being sent to your Junk Email folder be sure to actively monitor its content. The steps below will not prevent all legitimate email from being sent to your Junk Email folder.

Right Click Options (Same in 2010/2013 Version of Outlook):

  1. Right click on a legitimate email note found within your Junk Mail folder and choose the option for "Never Block Sender", this will automatically add the address to your "Safe Sender List".

Utilizing the Safe Sender Options (Same in 2010/2013 Version of Outlook):

  1. From your Outlook Mail screen, click Junk option from the menu bar at the top of the Outlook client.
  2. Click Junk E-mail Options.
  3. Click the Safe Senders tab at the top of the window.
  4. Click Add.
  5. Type the email domain for example, @listserv.louisville.edu into the window.
  6. Click Apply, and OK.
  7. Check the boxes next to "Also trust e-mail from my Contacts" and "Automatically add people I e-mail to the Safe Senders list."
  8. Click Apply to apply these new settings.
  9. Click OK to close the Junk E-mail Options window.

6. I use a Mac client to move mail to my Junk Email folder?

By default, the Mac Outlook Junk Email Protection is set to “Low”. However, it is recommended that you utilize the “No Automatic Filtering” option and follow the directions found in #8 to set up rules to automatically detect and move junk mail to the junk mail folder.

7. On a Mac, how do I change my Junk Email Protection to IT's recommended setting?

Follow these steps:

  1. In Outlook, click Tools in the menu bar.
  2. Click Junk E-mail Protection.
  3. Click the button beside the "No Automatic Filtering", option and follow rule set up options found in #8.
  4. Click OK.

8. How to permanently block addresses to the Junk Email folder?

Right Click Option:

  1. Right click on junk email sample.
  2. Choose Block Sender, once completed the address will automatically be added to the "Blocked Senders" list.

9. How do I change my Junk Email settings in the Outlook Web Client?

The default setting on the Outlook Web Client is ("Automatically filter junk e-mail"). Follow these directions to validate settings and add to your Blocked and Safe sender lists:

  1. Log in to your Outlook account at exchange.louisville.edu or cardmail.louisville.edu.
  2. Click the Options drop-down button at the top right of your screen.
  3. Click See All Options.
  4. Click Block or Allow in the left column.
  5. Verify that the button next to "Automatically filter junk email" is selected.
  6. Click Save at the bottom right.

You may prevent some legitimate email from being filtered to your Junk Email folder in the Outlook Web client, or to modify your Blocked/Safe sender lists follow these steps:

  1. After logging into Outlook Web client, click the Options drop-down button at the top right of your screen.
  2. Click See All Options.
  3. Click Block or Allow in the left column. Verify the button next to "Automatically filter junk e-mail" is selected.
  4. In the "Enter a sender or domain here" field, type@listserv.louisville.edu
  5. You can also utilize the "Trust e-mail from my contacts" by checking the box next to this option.
  6. Click Save at the bottom right.
