How do I know if I received any salary adjustment?

I started employment in December of 2001. Can I expect to receive a letter?

My position was reclassified in January. Will I receive another letter?

The letter I received from human resources had my job title wrong. What do I do?

My letter had the wrong job entry date.

Will overtime and shift differential be included in back pay calculations?

How will the retroactive pay be paid?

If we only receive 45 percent toward full, predicted rate adjustment now, how can we be sure the university will follow through and complete adjustments?

Q: How do I know if I received any salary adjustment?
A: If you were a full-time regular employee as of July 1, 2001, you should have received a letter from human resources. Letters were delivered in bulk to units March 11 for distribution. If you have not received yours, ask your supervisor if the letters arrived. If they did not, contact human resources immediately.

A: Yes. These letters will be prepared and sent out on or before March 29.

Q: My position was reclassified after July 1. Will I receive another letter?
A: Yes. An updated letter will be sent out indicating the current position, its assigned pay grade and any necessary adjustment.

Q: The letter I received from human resources had my job title wrong. What do I do?
A: First, has your title changed since July 1, 2001? The title on the letter should be what your title was as of that date. If it is not, let your unit business manager know and they will contact human resources at compensa@louisville.edu.

Q: My letter had the wrong job entry date.
A: The letter should have the date on which you entered your current job classification. If it does not, have your unit business manager contact human resources at compensa@louisville.edu.

Q: Will overtime and shift differential be included in back pay calculations?
A: Yes.

Q: How will retroactive pay be paid?
A: The back pay will be paid on March 29. This pay will be processed in a special payroll process and will be paid by check. We are unable to directly deposit this amount into individual checking or savings accounts.

Q: If we only receive 45 percent toward full, predicted rate adjustment now, how can we be sure the university will follow through and complete adjustments?
A: The university has made a commitment to bring staff salaries up to market. Larry Owsley, vice president for finance and administration, re-emphasized that commitment in the March 11 Staff Senate meeting. He said then that there will continue to be an advisory committee to make sure the process continues, and he has been quoted as saying: "Our challenge now is to complete the catch-up funding over the next couple of years and then to maintain a competitive salary structure in the years ahead." The adjustments are to be phased in over a period of four years. The first year's adjustments are taking place March 29. The second year's adjustments will take effect July 1 ­ the beginning of the fiscal year. Subsequent adjustments are scheduled for the beginning of the two following fiscal years - July 1, 2003 and July 1, 2004. This four-year phase-in is the same timeframe used to make faculty salary adjustments after their compensation study in 2000.

Q: Will there be an appeals process?
A: If there is incorrect data on the letter you received from human resources, let your unit business manager know and they can let human resources know. We'll start an investigation into the situation at that point. If you think your current job classification does not accruately reflect your overall duties and responsibilities, that is a classification issue and you should contact your supervisor and complete an updated position information questionnaire.

Q: How difficult will it be to get reclassified now?
A: The classification review process continues to be the same as in the past. However, from now until July 1, there will be no money in the reclassification pool for reclassifications that are not already in progress. That money is being used for salary adjustments. Because of the way the system works, reclasses submitted in March will have to be funded by units. Those submitted April 1-June 30 would be effective in August. At that time­in fact, after July 1­the reclassification pool will have been replenished.

Q: How will the university assess movement to market each year? Will there be another study?
A:PwC recommended that the university conduct a staff compensation review every three to five years to make sure that our paid salaries and salary structure remain competitive compared to market.
