Policies & Procedures

Facilities

The Brown & Williamson Club, located on the third level of Papa John’s Cardinal Stadium, includes more than 18,000 square feet of space for private, corporate, and community functions.

Availability

The Brown & Williamson Club is open seven days a week, based upon availability. The Brown & Williamson Club hours are from 8:00 A.M. to 1:00 A.M. Alcoholic beverages are not served after 12:00 Midnight.

Decorations

Floral arrangements, room decorations and any alteration to the Brown & Williamson Club’s standard decor and furniture arrangement must be approved by the Brown & Williamson Club Event Coordinator.

Use of confetti, glitter, rice, or birdseed is strictly prohibited. Likewise, use of helium balloons is subject to a retrieval fee.

Audio/Video Equipment

Arrangement for audio video equipment must be made through the Brown & Williamson Club Event Coordinator.

All audiovisual equipment must be ordered no later than forty-eight (48) hours prior to the event. All videos, compact discs, cassette tapes to be played at an event must be submitted to the Event Coordinator no later than forty-eight (48) hours prior to the function.

Catering

The Brown & Williamson Club provides an in-house caterer, Centerplate Catering, for food and beverage service.

Entertainment

The Brown & Williamson Club Event Coordinator must approve all entertainment.

Security

The Brown & Williamson Club may upon request, provide security personnel.

The Brown & Williamson Club is not responsible for lost or stolen personal property at any rental event.

Cleaning

Cleaning fees are included in the Brown & Williamson Club rental fee.

Damages

All damages to the Brown & Williamson Club are the responsibility of the client.

Deposit

A non-refundable deposit in the amount of one half (50%) the total rental cost quoted in the contract is due upon execution and delivery of the rental contract.

Billing & Cancellation

The Brown & Williamson Club will not consider the rental contract as being confirmed and in full force and effect until it has received a signed copy accompanied by the deposit.

The balance of all rental fees shall be payable thirty (30) days after the rental date.

If the client cancels the contractual event within 60 days, he/she will be responsible for the full rental fee in addition to any other expenses incurred by the Brown & Williamson Club.

Rental Fee

The Brown & Williamson Club’s rental fee is $1,500, which includes the set-up of tables and chairs, a five hour rental and your clean-up fee.
