HUMANITIES DIVISION FLU-EMERGENCY PLAN 2009-1010

Administration of the Division Program in the event of flu outbreak/emergency

In the event of illness of other emergency that causes the Chair to be unavailable, backup would be provided by (in order) Dr. Pamela Beattie, Undergraduate Advisor and Resource Advising Professor of Humanities or Dr. Annette Allen, Director of the Humanities Doctoral Program.  If it is necessary for one of these professor to assume the role of Acting Chair, notice will be sent by email to all of the faculty who teach division courses, to all of the chairs of departments in the division, and to the Dean and his staff.

In the event of an emergency situation such as an extensive flu outbreak, e-mails related to the emergency should be sent directly to the Chair, Elaine Wise, with a copy to Robin Carroll, Administrative Associate for the division, and to Drs Beattie and Allen—all of whom are in possession of the Chair’s contact information (cell and home phone numbers) and to whom the Chair will give the Dean’s contact information.

Operations and Communication in case of flu outbreak/emergency

1)    If the Chair Elaine Wise is out, Dr. Beattie or Dr. Allen will serve as acting chair.
2)    If the Administrative Associate Robin Carroll is out, Cindy Saling, Administrative
Associate of Philosophy will act on her behalf.  Humanities has three student
assistants who could person the front desk and maintain a presence.
3)    All of the above will communicate by e-mail and cell phone, if possible.
4)    If a professor or instructor is out for an extended period of time, he or she will
notify the chair and administrative associate of the condition.  He or she will communicate with his or her students by e-mail, will post assignments and study guides on Blackboard, and will, if necessary ask the chair to assign another faculty member (a proxy)to proctor exams, collect written work or assignments that cannot be done on Blackboard, and to serve as an intermediary until the affected faculty member can return.  He or she will request that the proxy be given access to his or her Blackboard shell, so that communication channels will flow between the instructor, the proxy, and the students.
5)    The primary person responsible for the Humanities website is Jim Hensley.
If he were out, Robin Carroll could post critical information, and we could
ask Hong, the English Department tier one person, to cover for him.

Cancellation Policy for Humanities

Should we be unable to staff the division office, we will post a voice mail message on the main line 852-6805, and will add a note to the Humanities web site.  In addition, we will notify the Dean.

Should a faculty member be unable to meet class (i.e. need to cancel class), he or she will notify Elaine Wise or Robin Carroll or their designees above, and will notify his or her students by e-mail as well as a posted voice mail message on his or her university phone.

Extended absences by any faculty member will be communicated to the Dean and his Assistant Dean for Administration, by e-mail.

We will notify the Dean and his Assistant Dean for Administration if student absences are extensive in any of our classes.

Should an event need to be cancelled due to flu or another emergency, we will post the cancellation on both the Humanities and U of L Today Websites, and will notify the Dean, providing the guest list, if applicable.

If all else fails, we will send a note to Google’s wikipedia, as our students and the general population seem to visit it frequently—and we can make daily updates!
