Operational Contingency Plan


As a means of addressing the needs to keep operations functioning in the department when there may be serious shortages of available staff, faculty and students due to illness, the department has established the following policies:

1.    All faculty will submit any information concerning their unanticipated absences to Karen Thompson at 852-6567 or kmthom01@gwise.louisville.edu.

2.    K. Thompson will forward information concerning faculty absences to both the Chair and the UBM of the department.

3.    K. Thompson will notify students in the faculty member’s classes via email (if Blackboard access is available) and/or by posting the notice concerning absence and length of absence on the door of the classroom for the affected classes.

4.    Faculty with known absences of more than one class are expected to seek colleagues or graduate assistants to provide supplemental instruction and/or to place course materials on Blackboard so that students may continue to progress in class assignments even in the absence of the instructor.

5.    Faculty should be aware that high rates of absenteeism among both faculty and students is a possibility and plan accordingly.

6.    Should K. Thompson be unavailable due to illness or some other reason, Sandy Wade will take absence information from faculty and follow through with the notification process.

7.    In the absence of K. Thompson and S. Wade, J. Green will provide this support function.

8.    Should the Chair of the department be unavailable due to illness, Dr. Gennaro Vito, Kamla Downs or Ginger Brown may be contacted to address administrative issues.

9.    Should Kamla Downs be unavailable, Ginger Brown or Dr. Deborah Keeling may be contacted to address issues related to personnel, budget, other UBM responsibilities.

10.    G. Brown and K. Hendricks will serve as support for one another on issues related to student registration and student services.

11.    Should all student services personnel be unavailable, Dr. Deborah Keeling will assist with student advising and registration.

12.    In the absence of support from Tier 1 personnel in the department, all personnel are to attempt to resolve problems/issues on their own. Limited support may be provided by department Web support staff. If neither of these options are appropriate/possible, A&S technology staff should be contacted. If this fails, IT Helpdesk should be contacted.


13.    Should department Web support be unavailable, assistance will be provided by the Tier 1 personnel or appropriate institute staff.

14.    All staff in the Southern Police Institute and National Crime Institute will be cross-training in those activities that are essential to the operations of the institute.

15.    T. Hughes and C. Shain will retain passwords for all computers and email accounts for all SPI staff.

16.    M. Perry will retain passwords for all computers and email accounts for all NCPI staff.

17.    Dr. Keeling shall have access to passwords for all computers and email accounts for all Justice Administration, Southern Police Institute and National Crime Prevention Institute staff.
