UNIT ADMINISTRATION

Chair

In the event of the Chair’s illness, Vice Chair Alan Leidner will become Acting Chair.  In the event of the illness of both the Chair and the Vice Chair, the role of Chair will be assumed by Assistant A&S Dean Wendy Pfeffer. In any such event, all instructors and staff members will be notified by e mail.  In case of emergency, all communications by e mail and phone should be directed to the Chair or to whoever is acting in his place.

Business Manager

In the event of Unit Business Manager Lucy O’Farrill’s illness, backup will be provided by Conference Assistant Sylvia Berger.  If they both fall sick, we will press Administrative Assistant Corinna Stephens into service as our Department UBM.

Webmaster

The department’s website is maintained by Manuel Medina, Corinna Stephens and Jim Hensley. Thus, for eventual needs, any one of them can post messages on our web page.

COMMUNICATION

In the event of a flu outbreak or other emergency situation, we will need central coordination, so all information related to the emergency needs to be forwarded directly to the Chair (mastri@louisville.edu) or the Acting Chair, and copied to UBM Lucy O’Farrill (lucia@louisville.edu) or our acting UBM.  The Department will post ongoing general critical information about the emergency via the Department’s website and the Department listserve.

Instructors are directed to report any unusually extensive flu related absences that exist in their classes.  In the event of a case of H1N1, even a single instance should be reported to the Chair immediately.

COURSE EMERGENCY PLANS

An Emergency Plan is now a required component of every course taught in the College, and our Department requires that all instructors publish their plans under Course Documents in Blackboard and draw the plan to the attention of their students.  As everyone now knows, the Emergency Plan applies even in the event that only a single student is absent because of the flu.  It is important that instructors work hard to keep up communication with affected students and help them keep up with the work in their course through the means you have outlined.

To the individual instructors:

As for the possibility that you may fall ill yourself: because of the serious nature of this H1N1 flu that may be on its way, it is not enough to wait until you are ill to begin looking for a possible substitute teacher.  We are hereby directing all instructors to ask a colleague now if they would be willing to take over your courses temporarily if necessary.  Be sure to compare schedules with your substitute instructor so as to make sure your substitution plan is feasible.

Our official lines of communication with students will be Blackboard and University e mail.  Our students need to be told this on the course syllabus.  Tell them in no uncertain terms that they need to check both Blackboard and their University e mail regularly, preferably daily.  For our part as instructors, every important new emergency related announcement needs to be posted on our Blackboard Announcement pages.  Be sure to check the box that sends it to all students via their University e mail.

For PTLs and GTAs: Make sure you notify your coordinators, For Spanish, Regina Roebuck (Roebuck@louisville.edu) 502-852 0489 and Melissa Groenewold (m0groe01@louisville.edu) 502-852-4748; for French, Bonnie Fonseca Greber (bonnie.fonseca greber@louisville.edu) 502-852-0488.
Fulbright teachers should contact the Chair.

The instructors are using Blackboard for communication purposes.  Students are asked to check the blackboard periodically to ensure they know what is happening and collect documents for classes.  If the instructor is sick, the other teachers will either substitute or make arrangements for the students to do project or lab works.

The lab will be staffed by Bobby Henderson and Don Shaw.  If one is sick, the other will call to ensure the lab is covered.  If either one is unable, faculty members will assume the  responsibility to ensure the lab remains open.

Students are asked to inform the instructors if they have or think they have the flu.  The instructors are taking precautionary measure to ensure they do not get sick (wash hands constantly, avoid close contacts with students, etc.)
