A&S Technology Support Emergency Plan

From Mark Rubenstein, A&S Technology Support Director

In the event that I am out Daniel Weber (852-2528 or 418-6815, d0webe01@louisville.edu ) would be my primary back up with Samantha Egnew (852-2528 or 235-1877, sam.egnew@louisville.edu ) as secondary.

Our primary critical functions are answering the ASTech phone line, answering the ASTech email account, and performing repairs, upgrades, and updates to computers.

Daniel and Samantha share primary responsibility in answering the ASTech phone line and I serve as both of their backups.

Daniel has primary responsibility for answering the ASTech email account.  I serve as the primary back up and Samantha is the secondary back up.

Daniel and Samantha share the responsibility of handling PC repairs in our office and I serve as a back up to both of them.

In the unlikely event that we are all three out at the same time we should still be able to cover most of our critical functions.  We all have Internet access from home along with the necessary tools to gain access to most of our resources.  We would need to determine which one of us was most up to the task of responding to phone calls and/or email.  The ASTech phone line could be handled in one of two ways.  First, we could simply put an extended absence greeting on the voicemail saying that we were all out for the day but that we would be checking voicemails throughout the day.  The second way to handle the phone line would be to simply forward the line for the day to one of our home or cell phones.

The ASTech email account could be handled in much the same way.  If none of us were up to the task of responding on a given day we could enable the out of office rule so that the person submitting a query would know not to expect an immediate response.  The more likely scenario would be that one of us would monitor the account from home and respond accordingly.

PC repairs, our third critical function, would need to be put on hold until one of us returned as we can't really take that work home with us.  In the event there were an emergency in this arena, such as a classroom computer needed immediate attention, I would contact one of the departmental tier ones within the College to ask for their assistance.

I think that should cover it for my group.  Other functions such as the TV monitor system and the web have been addressed under other portions of the College's plan.  In the case of my work with classroom technology, those calls come directly to me already so I would take whatever action necessary to make sure they receive attention.
