A&S International, Diversity and Outreach Programs Emergency Plan
How can the College operate when key administrators and support staff may be "out?"
Several staff are familiar and comfortable with Diversity and Outreach Programming. We have sufficient depth of experience in the unit to cover for any staff member who cannot accomplish their duties.
International programming would require special attention due to the need for Betty Marcum, our UBM to meet critical deadlines in setting up travel itineraries and making payments. For the Panama Undergraduate Program (PUG) student registrations, instructor travel, add/drops, etc. must be accomplished in a timely manner. It will be essential to cross-train another staff member to back up Sandra Blanford who coordinates the PUG. At present, various staff know certain pieces of her job, but no one is well versed in everything Ms. Blanford does for the PUG. A more comprehensive level of cross-training for that position will begin when Ms. Blanford returns from vacation on Oct 2nd.
How can we maintain efficient communications with one another when some or all of us are "off-campus?"
Emergency contact information is on file in the Dean's Office
How would your department/unit function if the chair/director, UBM or other key persons were out? List who would serve as “back up” to the department chair or program director in the event you are ill. If that person is ill, who would be “third in line?”
In the event of illness or other emergency that causes the Associate Dean of IDOP to be unavailable, back-up would be provided by (in order): David Owen, for the Diversity and Outreach areas and Diane Pecknold for International Programs. Should David Owen be unavailable, Linda Wilson will take over for Diversity and Outreach. Should Diane Pecknold be unavailable, Xiujie Sun will take over management of International Programs.
List the department’s Unit Business Manager (or the person who functions in this role for your department). List who will serve as his or her back up? If that person is ill, who would be “third in line?” NOTE: For small and mid-sized departments or programs, the depth of back-up coverage may have to be reduced.
IDOP’s Unit Business Manager is Betty Marcum. Backup for Ms. Marcum would be provided as follows: Diane Pecknold; Marian Vassar; Sandra Blanford.
Identify the primary person(s) responsible for your department’s website. Indicate the “back-up” plan for how your department would arrange to make changes to your department’s website if your “web person” is unable to post critical information or make timely updates.
Sandra Blanford has primary responsibility for IDOP’s webpages. Her backup will be provided by Marian Vassar, then Betty Marcum.
